Description

This position provides oversight and administrative support to the Mechanical Engineering graduate program. The position works with program leadership on the full cycle of a graduate student from recruitment through to alumni and interacts with interested stakeholders and administration through various methods and means.

Minimum Education and Experience

Bachelor's degree in a related field and six or more years of experience in higher education, preferably supporting graduate programs or an equivalent combination of education and experience.

Essential Duties and Responsibilities

  • Oversees admission applications for a graduate program.
  • Supervises ASC as a direct report, and student workers in the area.
  • Oversees preparation and delivery of acceptance/denial letters and program literature.
  • Responsible for ensuring the accuracy and adequacy of student academic records.
  • Answers complex correspondence concerning inquiries on graduate programs.
  • Explains policies and procedures and informs students of upcoming deadlines.
  • Organizes files and ensures compliance of program policies and requirements.
  • Prepares and distributes information about graduate fellowships and scholarships and informs students of fellowship competitions; tracks funding for new graduate students.
  • Provides statistical reports for a graduate program.
  • Maintains electronic records, files, statistics, and databases on applicants, graduate students, and alumni.
  • Maintains accurate records of all expenses for the graduate program.
  • Helps envision, organize, and participate in student success initiatives.
  • Facilitate activities to support matriculation of admitted applicants.
  • Develops and implements recruitment strategies.
  • Organizes, directs, and registers graduate students; resolves issues related to registration.
  • Interacts frequently with university students, faculty, staff, and outside agencies.
  • Represents the graduate program to the Office of Graduate Education.
  • Manages graduation processes including evaluating student degree plans for eligibility, and processing graduation applications.
  • Collaborate across multiple teams to provide problem-solving support and remain current on university policy and procedure within the areas of student advising, recruiting, and admissions.
  • Participates in appropriate professional conferences and individual professional development.
  • Assists in the preparation of materials for SACS accreditation and Graduate Program periodic reviews.
  • Responsible for ensuring compliance with institutional rules, regulations, and procedures.
  • Serves as primary liaison between the department and prospective graduate students.
  • Performs related duties as assigned.


Additional Information

Remote Work Notice: Following successful completion of an initial training period, a hybrid work schedule may be available, subject to business needs and departmental approval. Employee must be located within the Dallas/Fort Worth Metroplex area and have the ability to be on campus for work activities as scheduled and/or with 24-hour notice. Completion and approval of a UT Dallas Remote Work Agreement will be required, and use of personal computer, internet, and other standard equipment may be required. Remote work arrangements are subject to regular review and re-approval and may be canceled.
