Description

The Program Development and Outreach Coordinator position in the Office of Research and Innovation will directly support the rapid and steady growth of our research enterprise and maintain outreach programs that work to increase our federal research expenditures. This position is responsible for supporting the design, planning, and implementation of various departmental events and programs. Examples include development meetings with corporate and government sponsors, departmental seminars and workshops, school or center receptions, and various other high-profile events and programs. This position impacts the university's image.

Minimum Education and Experience

Bachelor's degree in Business or a related field, with 3-5 years of experience directly related to the duties and responsibilities specified; or an equivalent combination of education and experience.

Essential Duties and Responsibilities

  • Responsible for planning, preparation, coordination, and follow-up for events and programs, including meetings, special events, receptions, lecturer series, and other high-profile events programs.
  • Perform administrative duties related to the position, including compilation of attendance lists, establishing and monitoring event or project budgets, and evaluating events and programs upon completion.
  • Complete room reservation requests, media services requests, facilities management requests, catering orders, risk assessment forms, parking requests, signage, etc.
  • Create program flow documents, including agendas, program briefings, and run-of-show forms.
  • Oversee post-program documentation process; including reporting, surveys, analytics, attendance, and post-event engagement opportunities.
  • Monitor the scheduling and usage of event locations and coordinate with the user, catering, University Police, Facilities Management (including grounds and custodial staff), and the Media Services department to facilitate the judicious use of university services and resources.
  • Coordinate, develop, and implement program timelines to ensure all projects are executed efficiently and effectively with a focus on details; consistently handling multiple events and programs.
  • Responsible for purchasing event supplies, tracking inventory, participating in hands-on setup and preparation, addressing issues that arise, and overseeing clean-up and close-out of the event.
  • Ensure A/V equipment, tables, chairs, and other event-related equipment are scheduled and configured appropriately for the space and function.
  • Play a crucial part in maintaining and organizing departmental project management software with precision.
  • Research and recommend appropriate event venues when required, and oversee rentals, decor, parking, public safety, and other requirements.
  • This employment opportunity requires frequent lifting, standing, walking, and sitting for extended periods of time.
