Description

Under the supervision of the Leadership team of Post Award Management the Grant & Contracts Financial Specialist will be a contributing team member of Post Award Management that performs post-award sponsored program functions associated with the financial administration of awards – award set up through the project closeout. The incumbent for this position is expected to display a high level of professional customer service, organizational skills, and the ability to work independently as well as a member of a team. This position plays an active role in the processing of sponsored project activities that include reviewing and approving of sponsored projects financial transactions (requisitions, payroll, travel, journals), budget modifications, assisting faculty and staff in project analysis and university forms processing while being cognizant of, and adhering to, all university, sponsor, federal, and state-imposed rules, regulations, policies and procedures related to administering sponsored agreements.

Minimum Education and Experience

Bachelor's degree or higher; One (1) + years of experience in PeopleSoft financial structure, processes and internal controls including reconciliation processes; One (1) + years of working knowledge of invoicing, billing and procurement processes; Ability to explain policies, regulations, statutes, and guidelines to others; Strong computer skills particularly with MS Excel, Word and Adobe Acrobat, as well as familiarity working in a database environment; OR equivalent combination of education and experience.

Preferred Education and Experience

  • 2+ years' relevant professional experience, preferably in research administration.
  • Strong working knowledge and ability to explain policies, regulations, statutes, and guidelines to others.

  • Ability to communicate complex ideas in a clear and concise manner.
  • Strong grasp of the English language writing, grammar, and style.
  • Strong computer skills particularly with MS Excel, Word and Adobe Acrobat, as well as familiarity working in a database environment.

  • Excellent organizational skills (with the ability to prioritize and manage a large volume of work) and attention to detail.
  • Ability to meet tight deadlines.

  • Demonstrated ability to work independently and follow through on assignments with minimal direction.

  • Solid working knowledge of account reconciliation.

  • Experience working in a university setting.
  • Experience in and aptitude for accounting and financial analysis.
  • Working knowledge of federal grant systems and the rules and regulations that guide the administration of externally sponsored awards (Uniform Guidance; NIH, NSF, NASA, DoD, and DoE grant policies).
  • Experience in PeopleSoft financial structure, processes, and internal controls including reconciliation process – ability to create PeopleSoft queries.
  • Working knowledge of invoicing, billing, and Procurement processes.


Essential Duties and Responsibilities

  • Review and approve sponsored projects' financial transactions (requisitions, payroll, travel, journals) and adhere to, all sponsor, federal and state-imposed terms and conditions, as well as University policies and procedures related to the sponsored agreement; ensure budgetary and documentation compliance.
  • Maintain frequent contact with principal investigators, project directors, and departmental support staff throughout the university.
  • Special projects as needed by management.
  • Serves as a representative of the University, displaying courtesy, tact, consideration and discretion in all interactions with other members of the university community and with the public.
  • Ability to research and resolve financial questions from faculty and staff who have sponsored projects; minimal assistance from management.
  • Initiates award set-up in UTD Grant financial system; reviews proposal budgets for accuracy, correct indirect cost rates, and allowability of items proposed.
  • Process budget modifications; ensure compliance with sponsor-specific guidelines.
  • Responsible for administrative or monitoring activities related to Post-Awards projects; assist in identifying and resolving discrepancies related to any financial activity on an award.
  • Assist in the closeout of an award.
  • Assist in audits; financial data and documentation collection.
  • Serve as a liaison between various internal and external constituencies.
  • Keep current on job-relevant professional information by attending professional development opportunities.
  • Be a helpful colleague and team player.

Specificities:
  • Does not negotiate and submit proposals.
  • Does not prepare invoices and other billings.
  • Helps collect financial data for senior specialists.


Additional Information

Remote Notice - Hybrid remote work environment available after initial training on campus. A UT Dallas Remote Work Agreement is required upon employment. Use of personal computer and other standard office equipment may be required. Must be located within the DFW area and have the ability to be on campus with 24 hours of notice.
