Description

Reporting directly to the Business Manager of the School of Behavioral and Brain Sciences (BBS), the Administrative Assistant I will be responsible for performing duties to support daily business functions and operations for the executive front office in BBS.

This position will assist the Business Manager in the HR functional area, and support financial operations, while also providing outstanding customer service to the campus community by greeting visitors, answering emails, phone calls, and in-person inquiries in a timely and professional manner.
 This role requires full-time, on-site attendance. Remote work is not available for this position. 

Minimum Education and Experience

Bachelor's degree and two years office administration or project management experience or an equivalent combination of education and experience.



Preferred Education and Experience

  • Experience in higher education, administrative roles preferred but not required.
  • Experience with PeopleSoft is preferred.


Essential Duties and Responsibilities

Duties & Responsibilities
The essential duties and responsibilities include but are not limited to:
  • Open and close the office daily during traditional business hours (M-F, 8am to 5pm).
  • Assist with submission of HR transactions and other tasks in support of BBS HR initiatives, including the submission of ePURs, ePARs, job postings, assisting with reporting needs, maintaining shared tools or resource material, etc.
  • Assist with financial operations such as monthly cost center reconciliations for assigned cost centers, submitting purchase orders, expense reimbursements, OneCard reconciliation, and/or coordinating travel
  • Will assist and act as backup for other administrative operations personnel (Facilities Liaison, Dean's Executive Assistant duties, etc.)
  • Answer phones, greet guests and direct in-person inquiries to appropriate individuals.
  • Schedule meetings and event space requests in shared Outlook calendars.
  • Publish BBS events to internal and external Comet Calendars.
  • Manage assigned directory listings for employees in BBS.
  • Receive and respond to inquiries via shared email inboxes.
  • Collect and distribute mail daily.
  • Maintain office supply inventory and replenish as needed.
  • Regularly attend training and/or meetings to remain adept in UTD policies and procedures, software, programs or functional area.
  • Will assist with events, activities, commencement, conferences, and meetings for faculty, staff, students, the department, and the school
  • Committed to performing tasks to a high degree that assures fiscal, employment, and privacy compliance per applicable laws, regulations, policies, and procedures
  • Other projects and duties as assigned.

Essential Knowledge, Skills & Abilities
  • Detail-oriented with the ability to multi-task, prioritize, and complete tasks within deadlines.
  • Excellent verbal and written communication skills.
  • Excellent customer service skills
  • Ability to work both independently and cooperatively with others.
  • Above average proficiency in MS Office Suite (Outlook, Excel, Word, PowerPoint) is a must.
