Description

Provide administrative support for multiple Facilities Maintenance shops by collecting and analyzing work data, preparing reports which will assist in operational decision-making, maintaining employee data, and coordinating meetings, training, and travel. Provide customer service to campus community, which includes answering e-mails and phone calls concerning needs or complaints, answering questions, communicating university policies and procedures, and directing to appropriate resources.

Minimum Education and Experience

Bachelor's degree in a related discipline and three years of administrative experience, experience related to the project area or any equivalent combination of education and experience.



Preferred Education and Experience

· Intermediate level of knowledge and experience in Microsoft Windows/Office Suite; · Bilingual (English/Spanish)

Essential Duties and Responsibilities

• Develop and maintain data spreadsheets for various shops on operating metrics and equipment • Coordinate job postings, schedules, interviews, and submit new hire paperwork.
• Schedule employee training • Provide orientation program and on-boarding for new employees • Process work requests in the AIM work order system • Maintain records in various shops and related invoices • Coordinate monthly vehicle mileage and inspection reports • Function as a liaison to Budget, Human Resources, Payroll and other administrative units to  coordinate and communicate policies and issues with shops • Maintain staff employment records, including time sheets, attendance records, and time records • Coordinate travel arrangements and prepare appropriate paperwork • Maintain calendars, schedule meetings, prepare agendas, and take minutes • Compose routine correspondence and reports, and assist supervisors and foremen with emails • Other duties as assigned by the Associate Director for Facilities Maintenance

Work Notice: Work will be performed on site and in-person.
May be required to report to on-site work location during campus closure.
May be required to report to on-site work location during inclement weather.
