Description

Job Summary

EUO has overall responsibility for the design, development, and implementation of administrative procedures for the degree-granting programs in COE as specified by the faculty, as well as outreach, recruitment, diversity, retention, and other student-support activities. This includes the design and delivery of academic advising and educational enhancement programs for students, serving as a primary information resource for students, faculty, staff, and the general public.

The unit creates and supports programs designed to increase persistence and retention among first-generation and women undergraduates and those from traditionally under-represented backgrounds (LEADR and AvenueE programs) and community-college transfer students. EUO has primary responsibility for creating strategy and managing implementation of all UG outreach and recruitment activities, as well as student-oriented events. The unit's scope of responsibility is college-wide, extending to the departments administered by the college.

Under direction of the Director of Advising and Policy (DAP), the Assistant Director of Advising and Policy is oversees academic advising in the Engineering Undergraduate Office (EUO) and coordinates advising services for the College of Engineering (COE) in collaboration with the department-based (program) academic advisors.

The Assistant Director of Advising and Policy assists the DAP with researching, recommending, implementing, and assessing advising best practices for the college. Coordinate retention activities with the Director of Undergraduate Retention Programs. In the absence of the DAP, the Assistant Director assumes responsibility and authority for the effective delivery of EUO services, as delegated by the DAP or by the Associate Dean for Undergraduate Studies.

Qualifications 

Minimum Qualifications

  • Possessing a valid California driver's license; providing own transportation for frequent work-related travel.
  • Master's degree in STEM field, academic advising, counseling, higher education leadership, student services, or related field; or an equivalent combination of education and experience, including a Bachelor's degree from an accredited college or university.
  • A minimum of 3 years of experience as an academic advisor in an accredited higher-education setting, including experience with general curricular elements and structures (e.g., courses, units, prerequisites, majors and minors).
  • Excellent supervisory skills as evidenced through experience with training, direct supervision and evaluation of staff.
  • Management, leadership, and negotiation skills to motivate effective team interaction and collaboration and to model good professional behavior and communication skills among individuals from diverse backgrounds.
  • Knowledge of the academic environment and pressures encountered by students at a major research university, including students from under-represented groups and from economically disadvantaged backgrounds, and international students.
  • Skill to identify and implement solutions for advising needs to the maximum extent possible within given staffing, space, and budgetary limitations.
  • Interpersonal skills to interact and communicate effectively and professionally with administration, staff, visitors, and volunteers, using diplomacy, and good judgment during all interactions in the performance of wide variety of programs and support functions in a diverse and inclusive environment.

Preferred Qualifications

  • A minimum of 5 years of experience as an academic advisor in an accredited higher-education setting, including experience with general curricular elements and structures (e.g., courses, units, prerequisites, majors and minors).
  • Experience using decision-making skills to extract from complex situations those elements of greatest relevance and present that information succinctly and recognizing problems requiring specialized professional attention to make well-chosen referrals.
  • Demonstrated experience using analytical and problem-solving skills to identify and document patterns of student academic needs and to develop strategies and programs to successfully meet those needs.
  • Experience using counseling and guidance techniques to provide comprehensive advising or counseling services, and to provide guidance to students and parents in distress.

Department Overview

EUO has overall responsibility for the design, development, and implementation of administrative procedures for the degree-granting programs in COE as specified by the faculty, as well as outreach, recruitment, diversity, retention, and other student-support activities. This includes the design and delivery of academic advising and educational enhancement programs for students; serving as a primary information resource for students, faculty, staff, and the general public: interpreting, analyzing, and implementing a wide variety of Academic Senate regulations and administrative policies in evaluating student petitions, assessing individual academic performance, and progress toward satisfaction of degree requirements; making decisions on academic disqualification from the University and readmission; analyzing and authorizing baccalaureate degree certification; assisting the UG programs with assessment efforts for ABET accreditation and coordinating those efforts; and consulting for and coordinating the operation of the faculty governance system of COE. EUO monitors the progress and advises a specific group of students from matriculation through graduation.

Physical Demands

  • Lifting Requirements - Up to 25 Pounds (Light) – occasionally; Maneuvering/lifting materials weighing up to 25 lbs.
  • Equipment Used to Perform the Duties - Computer and Peripheral Equipment – frequently; Sitting at a desk with a computer for several hours at a time.

Work Environment

  • Occasionally working outside the standard Monday-Friday, 8am-5pm schedule, including evenings and weekends, and varied lunch hours to meet operational needs.
  • Required to work at the College of Engineering commencement, as may be needed, and at the campus orientation event.
  • Working in an area with constant interruption and noise from office machines, telephones, and conversations.
  • Traveling to locations off-campus and occasionally staying overnight.
  • Limited vacation during orientation, commencement, and other major student events.
