Summary of Job Duties: The Program Manager works in conjunction with leadership in the Integrated Medicine Service Line to support the mission and vision of the institution and service line. Provides overall administrative management and coordination of various business-related functions related to provider utilization including data projects, finance, and management of filling open clinic slots within the service line. The program manager will develop and maintain reports and dashboards to monitor key operational and quality metrics, analyze data, research outliers, and assist in implementation of process improvement.
Qualifications:

Minimum Qualifications:

  • High School Diploma/GED PLUS eight (8) years of project/program management experience OR Bachelor's Degree in Accounting, Finance, Business Administration or a related field PLUS four (4) years of project/program management experience

  • Advanced proficiency in computers (preferably Microsoft Office Suite).

  • Must be able to prioritize and plan work activities, use time efficiently, manage multiple projects at one time, and integrate changes smoothly.

  • Must learn other programs as necessary, i.e., Drop Box, Access, Visio.

Preferred Qualifications:

  • Epic Cadence knowledge will be essential and experience


Additional Information:

Responsibilities:

  • Manages provider's open clinic slots daily and actively seeks to fill in open slots by calling patients to move their appointments up or contacting patients on the wait list. The goal is to have no open slots on the provider templates within the IMSL service line. This may include pushing new patient information to My Chart or sending out new patient information. 

  • Scheduling patient appointments accurately and promptly using scheduling software or systems.

  • Coordinating and rescheduling appointments to fill gaps and maximize provider availability.

  • Communicating with patients to confirm appointments, provide necessary instructions, and reschedule as needed.

  • Collaborating with healthcare providers and staff to optimize scheduling processes and address any scheduling conflicts.

  • Monitoring and managing waitlists to ensure efficient use of available appointment slots.

  • Identifying opportunities to streamline scheduling processes and improve overall efficiency.

  • Provides support for the financial functions within the service line. Develops, prepares, and analyzes financial reports. 

  • Maintain comprehensive data logs and documentation related to enhancement of schedule and provider utilization. Analyze large datasets to identify trends, patterns, and insights.

  • Conducting thorough assessments of existing processes to identify areas for improvement or optimization.

  • Collaborating with cross-functional teams to gather data and feedback on current process implementation.

  • Analyzing data and performance metrics to assess the effectiveness and efficiency of implemented processes.

  • Recommending and implementing process enhancements or modifications based on analysis and feedback.

  • Developing detailed process documentation, including workflows, procedures, and best practices.

  • Monitoring and tracking process implementation progress and outcomes.

  • Providing training and support to staff members involved in the process to ensure successful implementation.

  • Create detailed reports using data visualization tools such as Excel and PowerBI.

  • Present findings in a clear and concise manner to support strategic decision making.

  • Prepare periodic reports (daily, weekly, monthly, quarterly) to update management on key metrics and performance indicators

  • Preforms other duties as assigned
