Summary of Job Duties: This position will serve as executive assistant for the COPH Office of Academic Affairs and the COPH Center for the Study of Obesity, reporting to both the Associate Dean for Academic Affairs and the Center's Director. The person hired will help plan, coordinate and implement activities in order to achieve the missions of the COPH and UAMS. The EA2 will coordinate meetings and activities with individuals from local, state and national agencies as well as other colleges and departments at UAMS.
Qualifications:
  • Bachelor's degree in business, accounting, or related field plus three (3) years of experience working in an administrative role or

  • High School diploma/GED plus seven (7) years of experience working in an administrative role required.

Knowledge, Skills & Abilities:

  • Proficient in Microsoft Office applications: Word, Excel, Outlook, and PowerPoint.

  • Must have excellent verbal and written communication skills demonstrating high levels of emotional intelligence.

  • Must be detail-oriented.

  • Must have excellent writing, editing, and spelling skills.

Preferred Qualifications:

  • Master's degree plus applicable years of administrative or related experience

  • Workday experience.


Additional Information:

Responsibilities:

  • Coordinates and supports the activities of this office, including supporting the work of the Associate Dean.

  • Working with the Associate Dean to manage various committees, prepare agendas, and draft minutes.

  • Conducts searches of the Office of Academic Affairs archives and serves as a reference person for archives.

  • Supports accreditation-related initiatives needed to retain and enhance our accreditation.

  • Assists with the administration of the CATS system for student evaluations of the courses and instructors.

  • Manages the Office of Academic Affairs databases.

  • Retrieves registrar and other data for annual reports and other documents.

  • Assists with the assessment, evaluation, and curriculum work of the Office of Academic Affairs and the Director of Curriculum.

  • Keeps the academic affairs pages on the COPH website up to date.

  • Communicating Associate Dean and Office of Academic Affairs matters to other offices and individuals.

  • Conducts web research to assemble and summarize information on practices adopted at other institutions and conducts other activities to help develop new administrative initiatives.

  • Develops workshop flyers; performs general office duties including posting meetings to the Associate Dean's calendar, scheduling meetings, making travel arrangements, ordering supplies, etc.

  • Conducts all work with impeccable attention to detail and double-checking the work; keeping all Office of Academic Affairs projects on track.

  • Coordinates and supports the activities of this center, including working with and supporting the work of the Director, research program manager, and other center staff.

  • Performs general office duties including scheduling meetings, making travel arrangements, facilitating procurement, ordering supplies, etc.

  • Performs other duties as assigned.
