Description
Tetra Tech is looking for a Receptionist to join our fast paced Belfast office. This role is pivotal to the smooth-running of the office!
You will be the face of the Belfast Tetra Tech office; the first-person visitors and internal colleagues see when they walk through the door. The role requires effective organisational skills and excellent team working to ensure the operations team workload is processed according to requirements and escalated where appropriate in order to maintain service levels.
This is a part time role, the hours are 8am to 2pm Monday to Friday.
This is a one-year fixed term contract, however there may be possibility for extension.
Role Responsibilities:
- Meet & Greet anyone who walks through the door
- Answer inbound calls and direct them to the appropriate person
- Efficient processing of inbound and outbound post daily
- Ensure all meeting rooms are set up correctly, and according to the meeting that is taking place in them
- Manage the catering for meetings / the office.
- Order food ensuring dietary requirements and numbers are met
- Clear meeting rooms when meetings have ended, setting them up correctly for the following meeting
- Support with setting up internal events
- Book meeting rooms for meetings
- Support the general administration team with administration tasks
- Booking standard courier requests and updating the tracker
- Where necessary, printing, binding, laminating, posting if the business need arises
- Assist and support with the rollout of initiatives endorsed by BS Project & Improvements team
- Actively suggest opportunities for efficiencies/improvements through your line manger
- Undertaking other duties not specifically stated above, which from time to time are necessary for effective performance of the team and the business
SKILLS, KNOWLEDGE, EXPERIENCE
- Friendly and approachable with excellent customer service
- Highly articulate with excellent interpersonal skills
- Enjoy working in a busy professional environment
- Able to multi-task, organise and prioritise workloads whilst remaining calm under pressure
- Ability to problem solve and make sound decisions to suit our business and clients' needs
- Willing to learn and utilise your skills to provide a high level of service
- Able to work well as a team and on your own
- Willingness to be flexible and adaptable
- Good working knowledge of Microsoft Office Suite, particularly Word, Excel and Outlook, 365 and PowerPoint
- Ability to adapt to new ways of working, including the introduction of new technologies
- Switchboard or hospitality experience
