The Project Assistant is responsible for supporting project managers and office staff with a variety of administrative tasks and maintaining an organized front office.

Your Role:

  • Complete monthly project budget tracking and invoicing, including updating of work plans and invoice submittal.
  • Provide general office support, including processing mail, ordering supplies, and responding to general inquires via phone and email. Support office staff with expense reimbursement processing.
  • Assist with contract processing, including completing contact checklists, PIFs, and other associated paperwork.
  • Process subcontractor invoices and other related services, partnering with Finance staff as needed. 
  • Manage vehicle fleet and associated equipment, including mileage documentation and maintaining registration for vehicles, trailers, and other related equipment.
  • Provide general word processing and graphics supports, such as document formatting, editing, and more. Assist with basic document quality control for technical documents (grammar, formatting, etc.). 
  • Plan and schedule webcasts and teleconferences as well as onsite meetings and luncheons as needed.
  • Provide occasional support for proposals and other marketing documents.
  • Schedule and ensure staff complete necessary trainings. Schedule appropriate trainings (e.g. first-aid training) and send reminders as needed. 
  • Assist with stakeholder outreach, such as email communication, mailings, and other project-related documents.

 

Qualifications:

  • A high school diploma or equivalent.
  • A minimum of three years of experience providing general administrative support in an office within a professional services firm or similar organization/industry.
  • Knowledge of general contract and subcontract terms and documents utilized within a professional services firm.
  • Knowledge of state and local rules and regulations related to vehicle licensing and registration.
  • Advanced proficiency in MS Office Suite, including Word, Excel, Teams and Outlook.
  • Proficiency in Adobe Acrobat or similar software.
  • Effective written and verbal communication skills.
