Project Summary:

MSI is awarded the USAID/Sri Lanka Transparent and Accountable Governance (TAG) activity. Working in close coordination with USAID/Sri Lanka, the activity is designed to strengthen Sri Lanka's democratic and economic governance reform efforts by bolstering good governance, transparency, accountability, and anti-corruption.

Position Summary:

The Administrative Assistant and Receptionist will be responsible for providing administrative support and managing the day-to-day operations of the Colombo office. The Administrative Assistant and Receptionist receives office operational procurements, completes goods delivery receipts, maintains office inventory and operational files, and serves as the Receptionist for the office.  

 

Responsibilities:

  • Receive office operational procurements and ensure that all goods are properly accounted for by completing the goods delivery receipt.
  • Maintain an accurate inventory of office supplies and equipment, ensuring that stock levels are adequate and that supplies are used efficiently.
  • Organize and maintain office operational files, ensuring that all documents are properly filed and easily accessible when needed.
  • Oversee the maintenance of the Colombo office, including coordinating with cleaning staff to ensure a clean and professional work environment.
  • Serve as the Receptionist for the office, greeting visitors, answering phone calls, and directing inquiries to the appropriate staff members.
  • Manage incoming and outgoing mail and courier services, ensuring that all packages and correspondence are handled promptly and securely.
  • Monitor office supply levels and place orders as needed, ensuring that the office is well-stocked with necessary materials.
  • Provide administrative support to project staff, including scheduling, filing, and coordinating meetings.
  • Ensure that all office operational activities comply with USAID and Tetra Tech regulations and local laws.
  • Maintain accurate records of all administrative activities, including procurement receipts, inventory lists, and operational files.

 

Qualifications:

  • High school diploma required.
  • Minimum of two years of experience in administrative support, office management, or a related field required.
  • Understanding of office operational procedures.
  • Ability to engage effectively with staff, visitors, and external partners.
  • Ability to handle multiple tasks and meet deadlines.
  • Ability to build and maintain relationships with team members and external partners.
  • Strong written and verbal communication, interpersonal, organizational and time management skills.
  • Strong attention to detail to ensure accurate record-keeping and compliance with regulations.
  • Fluency in written and spoken English, Tamil and/or Sinhala required.
