Overview

he Office of Health Care Reform is seeking a proactive and detail-oriented Administrative Coordinator to support Vermont's participation in a new program called the States Advancing All-Payer Health Equity Approaches and Development Model - or "AHEAD." This program would allow Medicare to join Vermont's health care reform efforts to improve the health of Vermonters, advance health equity, and reduce the growth of healthcare costs.   

 

The ideal candidate will be highly organized, possess exceptional communication skills, and thrive in a fast-paced environment.  

 

Examples of key responsibilities include:  

    Project Coordination: Aid in the planning and execution of project milestones and deliverables. Maintain a project workplan, monitor project timelines, and ensure that the project remains compliant with state and federal timelines and requirements. Track project expenditures and monitor budget compliance.  

    Communication: Serve as a point of contact for internal and external stakeholders. Facilitate clear and effective communication between the Agency and stakeholders across Vermont's health care landscape. Create PowerPoint presentations that effectively summarize and convey critical information and insights to various stakeholders. 

    Administrative Support: Provide administrative support to the project team, including scheduling meetings, managing calendars, preparing materials, and coordinating logistics for meetings and events. Organize and maintain documents. 

    Research Skills: Conduct research on relevant topics, policies, and best practices to support project objectives and inform strategic decision-making. Summarize findings and present recommendations to the project team.

This position, Administrative Services Coordinator IV - Limited Service (Job Requisition #51053), is open to all State employees and external applicants. It is a Limited Service position, which is non-tenured and authorized for a specific period of time. Limited Service positions are established for specially funded projects or programs.

AHS BACKGROUND CHECKS:  Candidates must pass any level of background investigation applicable to the position.  In accordance with AHS Policy 4.02, Hiring Standards, Vermont and/or national criminal record checks, as well as DMV and adult and child abuse registry checks, as appropriate to the position under recruitment, will be conducted on candidates, with the exception of those who are current classified state employees seeking transfer, promotion or demotion into an AHS classified position or are persons exercising re-employment (RIF) rights.

Minimum Qualifications

Bachelor's degree in accounting, business or public administration, office administration or a related field AND one (1) year or more of experience providing professional administrative-level services to a business or organization which included an accounting or budgeting function and experience as a supervisor of clerical or administrative staff.

OR

Bachelor's degree AND four (4) years or more of experience providing professional administrative-level services to a business or organization which included an accounting or budgeting function and experience as a supervisor of clerical or administrative staff.

OR

Two years of full-time college work OR an associate's degree or higher AND six (6) years or more of experience providing professional administrative-level services to a business or organization which included an accounting or budgeting function and experience as a supervisor of clerical or administrative staff.

OR

High School diploma or equivalent AND eight (8) years or more of experience providing professional administrative-level services to a business or organization which included an accounting or budgeting function and experience as a supervisor of clerical or administrative staff.

OR

One (1) year or more of experience as an Administrative Services Coordinator III with the State of Vermont.

NOTE: Only administrative work experience is qualifying. Administrative services includes those functions which keep the organization running or provide the resources for others to provide the programmatic work (e.g., accounting, budget management, grant administration, finance, human resources, payroll, purchasing, or space management).

Special Requirements

For some positions experience working with the VISION system (VISION is the State of Vermont PeopleSoft financial management system) may be required.
