Experience
8 - 12 years of overall experience in IT industry with 4 - 6 years in Program Management
Program Guidance:
Oversee a large number of project teams related to a program (4-15), often in a given single geographic location (except when teams themselves cross geographic boundaries).
Ensure that PMO understands status and projected completion dates for all program work underway.
Understand roadmap and strategy for the program, and make sure release deliverables and the roadmap stay in sync.
Ensure that program release plans for the teams managed encompass all work that PM expects to complete in a given release, and that Dev and QA are confident they can deliver.
Lead cross-functional program level ceremonies for the teams managed such as release plan reviews, bi-weekly release status reviews, project status reviews, and release retrospectives.
Data-Centric Focus:
Drive definition and use of data and metrics to guide reviews, status hypotheses, projections.
Drive to ensure that data within our tools is accurate and up to date (e.g. Jira Epics created in planning phase, story points correct for each ticket, Jra tickets closed at end of release, spillover handled, Confluence pages up to date, subject matter discussions captured where they can be easily accessed.)
Make sure team members add all the data we need (e.g. all Jira fields are kept up to date for each team involved.)
Work to ensure that Jira is maintained as the main repository for status and history of work completed.
Form plans to address related issues and coordinate across PMO to implement changes to improve the quality of organizational data.
Review data with program leadership to ensure it tells a consistent story
Accountable for Story Point and Person Year data for program managed.
Innovation and Process Improvement:
Ensure that all aspects of the documented process for the program manager role are followed for the teams managed
Develop ideas for new metrics and techniques the PMO team can use to improve accuracy, predictive ability, and availability of important information.
Promote an open and collaborative workplace where ideas and feedback are encouraged
Participate in forming PMO vision, strategy, and processes to support them.
Drive to continuously improve our tools and processes - propose changes including removal of low-value / burdensome processes, adoption of new tools to improve how the team or organization operates.
Insight and Risk Detection:
Be the first to identify project risks, as reported in weekly status updates.
Seek out risks from program team personnel, and make sure there is sufficient communication to find them. Ensure the program manager "Risk Questions" are reviewed by the program team on a periodic basis as needed.
Identify and report weekly on all program delays, impediments, dependency coordination (both between internal teams and with vendors), risks, procurement concerns
Identify to PMO management any actions that could be taken to enhance our ability proactively gauge risk.
Team Improvement:
Work to establish consistency across programs, in process, data collection strategy, metrics, ceremonies
Drive celebration of team success - solicit and post team shout outs, identify ways to improve and maintain morale among PMO and cross-functionally (e.g. PM, Dev, QA)
Mentor project managers and associate program managers in support of program goals
Communication:
Provide regular reports to program leadership (PM, Dev, QA) on status, target dates, and projected dates.
Maintain a record of program risks, impediments and delays encountered. Work with PMO staff to help define how to use the related data, and how to improve related collection processes and metrics.
Maintain a partnership with Client Services, Technical Support, User Experience, Technical Communications and Production Support teams - work with them to identify improvements needed, and coordinate to implement related changes
Manage, coordinate and resolve majority of cross-program and procurement dependencies for the teams
Meet regularly with PM, Dev Lead and QA counterparts for the program
