SUMMARY:
The Membership Director serves as a key ambassador for Whitetail Club, focusing on building and maintaining relationships with current and prospective members. This role involves representing the club to members and the public, collaborating on events designed to engage members, managing member communications, and acting as a liaison between members, the General Manager, and Ownership. The ideal candidate possesses strong communication skills with the ability to articulate our community covenants, conditions, restrictions and By-laws, while upholding our Whitetail brand.
WHAT YOU GET TO DO:
Member Relationship Management
- Develop and maintain strong relationships with existing members to ensure high satisfaction and retention.
- Establish and maintain contact with club members and staff, soliciting feedback for continuous improvement.
- Use diplomacy to enforce club and neighborhood policies and guidelines, ensuring a respectful and professional environment for all members.
- Anticipate arrival needs and handle special requests to enhance the member experience.
- Lead new member onboarding and orientations to ensure a seamless integration into the club community.
- Understand and use Covenants, Conditions, and Restrictions (CC&Rs) and club By-Laws to answer questions, solve problems, and ensure fair and consistent application of rules and regulations.
- Oversee the membership application process, ensuring compliance with club policies and procedures.
- Serve as the key contact for all prospective and current members.
Membership Growth and Recruitment
- Represent the club in the community, the industry, to the members and employees.
- Work with the President of Whitetail to evaluate and vet prospective members to ensure alignment with the club's values and standards.
- Oversee the membership application process, including processing documentation and confidential paperwork with accuracy and discretion.
- Maintain and update member e-files for accuracy and completeness on an ongoing basis.
- Collaborate with the marketing team to create promotional materials and campaigns.
Event Collaboration and Coordination
- Work closely with event planners and other departments to design and execute club events that engage and delight members.
- Promote member participation in club events and activities, enhancing community involvement.
- Plan and oversee social sales activities such as promotional receptions, new member parties, and orientation sessions.
- Participate in assisting club event managers with organizing and attending events to promote the club and engage with potential members.
Communication Management
- Serve as the primary point of contact for member inquiries, providing prompt and professional responses.
- Serve as the key contact for all prospective and current members.
- Develop and execute a New Member Orientation program.
- Participate in the development of regular communications, such as newsletters and announcements, to keep members informed about club news and events.
- Provide membership tours of all club facilities to prospective members.
- Ensure prompt and regular communication with all members regarding membership matters and club activities.
- Coordinate marketing plans with the DOSM and General Manager.
Liaison Duties
- Act as an intermediary between members and the General Manager, conveying member feedback and facilitating effective communication.
- Participate in management meetings to represent member interests and contribute to club decision-making.
- Sit on the POA board and engage as directed by the Club GM.
Administrative Responsibilities
- Maintain all membership files, process new member applications, handle membership status changes, and process resignations.
- Prepare reports on membership metrics, trends, and feedback for management review.

- Develop a complete understanding of membership classifications, fee schedules, rules, and regulations.
- Report approved new members to the accounting department and ensure proper administration of memberships.
- Educate and train staff on directing membership inquiries.
- Manage the club membership directory and assist members with website and mobile app use.
- Maintain digital and print membership databases with current member information in both the portal and website.
- Work with the Accounting department to monitor accounts receivable and learn Club Essentials, our Whitetail Club platform.
- Excellent interpersonal and communication skills.
- Strong time management skills.
Requirements
WHAT YOU NEED TO BE SUCCESSFUL:
- Bachelor's degree in Business Administration, Hospitality, Communications, Public Relations, or a related field.
- Minimum of 3-5 years of experience in membership management, hospitality, or a related area, preferably within a private club setting.
- Exceptional interpersonal and communication skills, with a talent for building relationships.
- Strong organizational and multitasking abilities, with attention to detail.
- Proficiency in Microsoft Office Suite and familiarity with membership management software.
- A passion for outdoor activities and an appreciation for the lifestyle offered by McCall, Idaho.
- Ability to work flexible hours, including evenings and weekends, to accommodate club events and activities.
