SAIC is looking for a front office Administrative Assistant to support a highly dynamic and growing program with one of our US Government customers. You will be a part of a large multi-year contract that supports our customer in systems engineering and integration across a broad portfolio of projects. You will come into a program that enjoys a close working relationship with the customer, bringing exquisite expertise to bear on real world problems, helping the customer execute real world missions that impact National Security on a daily basis. This close relationship, along with the program's longevity (20 years), ensures that as a new team member you will find a depth of support to grow and develop that is unmatched, all while making a difference - daily.
Responsibilities:
- Provide on-site administrative support to customer front office staff, to include:
- Scheduling meetings
- Maintain a schedule of appointments that involves determining the importance of the issues for each meeting and following protocol procedures for contacting principals.
- Engage with appropriate customer personnel and/or commercial vendors to coordinate logistics such as event announcements, general communication, catering and menu planning, transportation and expense statements.
- Oversee the event or function through completion to ensure that proper protocols and standards are met.
- Manage and/or assist the workflow of a multitude of critical issues with dynamic scheduling with the assigned senior manager.
- Coordinating meeting agendas and briefing materials, arranging and communicating plans with presenter, attendees and Configuration Management for record-keeping as applicable
- Arranging TDY travel and local vehicle/driver support
- Scheduling meetings
- Facilitate customer and contractor check-in and check-out processes
- Draft and prepare non-routine letters, memos, documents and various reports requiring comprehensive knowledge of the customer's methods, policies, regulations and procedures for the senior manager's signature
- Support the customer's efforts to transition communications and record-keeping to Confluence
- Experience with knowledge management platforms (especially Confluence)
- Office supply management
- Maintain an efficient office environment, which may include supply ordering, arranging for office equipment repair, etc.
- Manage the office supply budget
- Support action tasking and tracking
- Work seamlessly with the others on the front office support team to ensure continuity of support for front office leadership
- Manage phones by directing calls to the appropriate customer resources and taking messages with follow up as appropriate
- Disseminate the senior manager's schedule to appropriate staff and act as intermediary when necessary
Qualifications
- Prior experience with administrative support in a front office environment
- Familiarity with a wide range of knowledge management tools, especially Confluence
