SAIC is seeking an Administrative Specialist to provide full time support on-site in working as part of contract team with the DoD Office of the General Counsel (OGC).

The candidate selected will:

  • Perform both general office duties (e.g., answering telephones, typing, and filing) and advanced administrative support activities that require independent judgment and a thorough knowledge of policies and procedures.
  • Draft correspondence, memoranda requiring independent judgment as to content; compile and analyze information from a variety of sources to prepare reports.
  • Review outgoing correspondence for signature or clearance for format, typographical accuracy, conformance with procedures instructions, and consistency with other material cleared or in preparation.
  • Review correspondence and other materials prepared for the information and signature for appropriate content, coordination, and routing.
  • Maintain files and records and perform office administrative duties to include copying and distribution, data input, and database management.
  • Input weekly updated information into various case management systems.
  • Arrange travel for Government personnel in the DTS, including preparing authorizations and vouchers (local and non-local).
  • Manage senior leadership calendars and organize office-level meetings, entrance into various locations, parking, materials, and equipment.
  • Facilitate external meetings, working groups, and technical and operational challenge interchange meetings.
  • Coordinate with OSD/JS and DoD components for review of responsive records and delivery of cases to and from component offices.
  • Assist in the identification of classified information, Restricted or Formerly Restricted Data, and militarily critical technology.
  • Assist in the identification and handling of NATO classified and unclassified information.
  • Assist in the identification and handling of non-OSD/JS component equities (including DoD and intelligence community equities).
  • Create electronic and paper FOIA folders.
  • Process documents in accordance with FOIA tasking procedures.
  • Track referrals and ensure consultation and referral deadlines are met.

Qualifications

Educational Requirement:

  • Years of experience accepted in lieu of a degree.

Experience/Skills Requirement:

  • Three years of experience in administrative support services, to include creating electronic and paper folders, processing documents in accordance with FOIA tasking procedures, tracking referrals and ensuring consultation and referral deadlines are met, and establishing and organizing case files.
  • One to two years familiarity with database management, project management, and electronic redaction software.
  • Understanding of DoD, Joint Staff, and the Military Departments standards of practice.
  • The ability to review, understand, and analyze legal and non-legal DoD documents.
  • Possess exceptional oral and written communication abilities and the ability to read, interpret and understand legal documents.
  • The ability to leverage established relationships with other DoD components and agencies.
  • Proficiency with Microsoft Office Suite of Applications (Word, Excel, and PowerPoint) and common office software applications

Desired Experience/Education:

  • Bachelor's Degree.
  • Experience using e-discovery software.

Required Clearance:

  • Top Secret with SCI eligibility.
