Job Function:

The Military Student Services Coordinator is responsible for the ongoing management of veteran student certifications including verifying eligibility, certifying enrollment, and reporting grades, withdrawals, and corrections. The Military Student Services Coordinator acts as a liaison between the Office of the Registrar, the Department of Veterans Affairs, academic departments and academic advisors regarding veteran benefits. This position acts as a key member of the Office of the Registrar and is responsible for maintaining compliance between OSU-OKC and the Department of Veterans Affairs.

 

Essential Job Functions:

  1. Interpret federal, state, and institutional policies and professionally communicate these to faculty, students, and staff. Maintain a current understanding of academic policies, procedures, and processes related to student records. The Office of the Registrar is accountable for compliance with institutional and OSRHE policies.
  2. Provide services to veterans in relation to the certification of the student to the Department of Veterans Affairs for Educational Benefits including, but not limited to, initial enrollment and certification, adjustments to certifications, end of semester reporting of grades, and use of the Enrollment Manager certification program.
  3. Collaborate with and receive direction from the OSU Stillwater Veterans Benefits leadership on processes, ensuring OSU system-wide consistency and alignment in VA benefits certification.
  4. Collaborate with Student Life and Communications to provide services and opportunities to current students, such as Veterans Day activities. Partner with Recruitment on outreach to prospective military populations.
  5. Manage policies and procedures related to the assessment of military experiences including but not limited to Joint Service Transcripts and related credit.
  6. Retain accurate student records and maintain student confidentiality by observing policies related to student privacy (FERPA).
  7. Respond to student requests and complete position duties in a timely fashion to help promote student satisfaction and retention.
  8. Assist in campus wide retention and enrollment efforts as applicable to position.
  9. Participate in departmental documentation and process improvement efforts; exhibit an understanding of this positions role in the campus semester plans, standard operating procedures, key performance indicators, etc.
    Assists with ongoing review of student records and assists with data corrections as needed for internal and external reporting.
  10. Scan all incoming documents to the student electronic file. Maintain a document verification and destruction schedule in compliance with state historical record management policies.
  11. Completes all mandatory training and participates in meetings and professional development activities.
  12. Provide frontline Registrar Services support and assist with other team activities as needed.
  13. Perform other duties as assigned.

Position Qualification

Work Experience:

  • Minimum of two years progressively responsible work experience.
  • Experience working in a fast-paced and/or customer service rich environment.

 

Knowledge, Skills, and Abilities:

  • Ability to manage priorities imposed by frequent deadlines, peak workloads and public/student contact.
  • Ability to communicate diplomatically, clearly and effectively, both verbally and in writing to exchange information, give/receive instructions and respond to inquiries appropriately.
  • Strong interpersonal skills and sensitivity to a multicultural environment in an effort to work and communicate effectively with all students, faculty, staff and community partners.
  • Demonstrated knowledge of office technologies including but not limited to: office computers, fax machines, scanners, internet, Microsoft Office (Word, Excel, Outlook).
  • Accurate typing/data entry skills and demonstrated ability to work with attention to detail.
  • High degree of initiative to work independently and also collaborate in a team environment.
  • Exhibit problem-solving skills beyond a set of instructions and adapt to changes when necessary.
  • Ability to make appropriate recommendations based on logical and justifiable reasoning.
  • Ability to use analytical and critical thinking skills to interpret written policies and procedures.
  • Ability to perform basic math functions.
  • Experience and confidence speaking in front of students/customers.
  • Ability to handle multiple tasks and prioritize effectively with high degree of accuracy and attention to detail.
  • Ability to work effectively in a diverse community and meet the needs of diverse student populations.
  • Passion for assisting customers and representing the OSU-OKC and OSU brand with positivity and professionalism.
  • Demonstrated history of ethical and professional behavior.

Education:

  • Bachelor's degree or equivalent of associate degree with two or more years of work experience above the minimum qualifications.

 

Preferred Qualifications:

  • Prior work experience in a college Registrar's Office or related field
  • Prior experience related to records management, curriculum processes and related policies
  • Prior experience working with military personnel and/or veterans, preferably in an educational environment including knowledge of active duty and veteran educational benefits

Working Conditions:  

  • Must be able to work flexible hours to include some nights and weekends.
  • Work will be performed in an office environment with a significant amount of public contact, in person, by telephone, via email, and various communication platforms.
  • Ability to work in a remote environment based on campus and departmental needs.

Physical Requirements:

  • Duties require extended periods of sitting, talking and listening.
  • Duties require extensive use of computers, telephone and other office equipment.
  • Requires possible lifting of up to 25 lbs. (If an object weights more than 45 lbs., OSU-Oklahoma City requires this to be a two-person lift).
