Summary:
Perform and/or oversee a variety of administrative, fiscal, planning and staff support duties for the Human Resources Dept. teams. Some duties require advanced or specialized skills and knowledge of organization policies, procedures, and internal and external software solutions. Provide administrative assistance including all purchasing, travel, reimbursements, supplies, etc. for the Human Resources Employees.
Responsibilities:
* Always deliver excellent customer services for internal and external customers of the Human Resources Department and in all activities while delivering customer service promptly and courteously. Develop solutions for customer concerns and continually focus on customer services as our top priority.
* Actively support the department and Division mission, vision, and strategic plan goals and objectives.
* Assess and analyze work performance activities for the purpose of continually improving work area. Ensure systems are in place which guarantees work activities are completed and guarantee positive results.
* Participate in regular departmental meetings
* Ensure compliance with regulatory requirements in all areas at all times. Learn and understand regulations to assist Management with compliance.
* Maintain supplies, computer equipment, office equipment and office machines.
* Purchasing for registrations, memberships, dues, contracts, contracted services, travel/training, office supplies, office equipment, reimbursements, check requests,
* Ensure effective communication with team members, clients, vendors and customers via email, telephone, Teams, and in- person meetings, ensuring consistency.
* Participate in the coordination and development of work plans and projects, track progress, planning and execution.
* Work within event budget(s) for Trainings, Meetings, ensuring catering, supplies, fees for travel are efficiently coordinated.
* Process appropriation requests, blanket orders, invoices, and vouchers; reconcile accounts, and keep accurate up-to-date reports and electronic filing. Ensure purchases are processed timely to utilize discounts, prevent fines, late fees, and disruption of service.
* Prepare and review correspondence, reports, minutes, agendas, memos, forms and other documents from drafts, recordings, meetings.
* Interact with customers, community partners and co-workers with fairness and equity and deliver services free of bias and prejudice.
* Coordinate hours with other office staff so that front desk is covered at all times.
* Coordinate the activities of meeting or events, both I persona and virtual
* Provide direction to other clerical personnel by answering questions, training on office procedures or reviewing work if needed.
* Conduct research to resolve operational questions or issues; make recommendations to enhance the efficiency of administrative operations.
* Effectively handle multiple tasks and meet deadlines.
* Contributes to team efforts to accomplish results as required.
* Work both independently and in a team environment.
* Ability to work responsibly and effectively with minimal supervision or in a team environment.
* Coordinate the Years of Service program, order/inventory blankets, process agenda meeting requests, establish history for recipients, prepare PowerPoint, send out memos to supervisors of recipients informing them of achievement, prepare certificates for presentation, disperse blankets, track receipts.
* Offer creativity and innovation in addressing and responding to emerging program and customer needs

* Knowledge, experience, and skills operating a personal computer with word-processing, spreadsheet, and database software programs in a windows environment pertaining to leasing/various real estate information

Education with Equivalent Qualifications:
Essential:
* General Ed, High School Equivalency Diploma, HS Diploma
* Applicants age 50 and older are exempt from this requirement

* Associates Degree in Business

Must pass a pre-employment drug screen and adhere to the Nation Drug and Alcohol-Free Workplace Policy.
A Tuberculosis (TB) Screening and/or a 2 step TB Skin Test is required within thirty (30) days of employment.
Must provide a copy of diploma/degree, license, or certification upon employment.
