Primary Purpose:
Norfolk Southern is seeking a motivated, detail-oriented, and resourceful individual to join our Transportation Administration Office as a Secretary. This role is essential in supporting office operations, ensuring the smooth flow of administrative tasks, and contributing to process improvements across the department. A successful candidate will be organized, eager to learn, and passionate about enhancing administrative efficiencies within a dynamic transportation environment.
Key Responsibilities:The Secretary will be responsible for a variety of administrative and office support functions. Core duties may include but are not limited to:
- Vendor Invoice Management: Process, verify, and maintain records of vendor invoices to ensure timely payments.
- Material Procurement & Inventory: Order materials as required and handle material receipting processes.
- Budget Tracking & Reporting: Assist in budget management by preparing reports and tracking expenses to maintain budget integrity.
- Employee Status Management: Enter and update employee status changes in our systems, ensuring accurate and timely updates.
- Employee Communication & Mailings: Prepare and send correspondence related to medical requests, mark-up requests, and investigation notices.
- Document Management: Organize, file, and maintain both physical and virtual records, including employee personnel files and Career Service Records.
- Payroll Administration: Enter payroll data accurately to ensure correct and timely payments.
- IT & Equipment Coordination: Request necessary computer permissions, equipment, and software access for employees to facilitate their roles.
- Office Equipment Operation: Proficiently use standard office equipment such as printers, copiers, scanners, and fax machines.
- Data Compilation & Reporting: Compile and organize data from multiple sources to produce summary reports for team use.
- Bulletin Issuance: Prepare and distribute bulletins and other communications as needed.
Experience:
- Required: 1-2 years of experience in an administrative or support role.
Education:
- Preferred: High School Diploma or GED. Additional coursework in office administration or business is a plus.
Technical Skills:
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) for data entry, document preparation, and presentations.
- Experience with SAP for data entry, invoicing, and employee records management (preferred but not required).
