Description

In a joint role shared between the MMMC Facilities and EVS departments, this position will coordinate administrative and operational activities to bring synergy and optimization to support service needs around campus. The coordinator is responsible for ongoing and proactive communication, facilitating vendor management and supply procurement, supporting service requests for timely resolution, streamlining bed management/teletracking and rapid service response requests. This role assists in the coordination, execution, and implementation of departmental projects. Achieves strong grasp of reporting systems, preventative maintenance schedules, regulatory notifications and general administrative support for the departments. Approaches daily role with MMOS process improvement and Common Purpose intentions.
Education

  • Bachelor's degree in Business, Management, Engineering or Accounting preferred
  • High School Diploma or GED or equivalent required
  • four years of related experience in lieu of degree required
Experience
  • 5-7 years Experience at comparable level required
Knowledge, Skills, and Abilities
  • Ability to effectively communicate with all levels of internal and external customers
  • Advanced computer skills with Microsoft Office: Word and Excel
  • Experience with other databases
  • Department Coordination: Oversees administrative functions to support Facilities Management and Environmental Services Develops and implements policies and procedures relating to the administrative functions of assigned departments. Manages inventory including ordering, receiving, quality control, and distribution or equipment, parts, and supplies.
  • Performs follow-up for discrepancies and returns. Assists in the preparation and monitoring of budgets (capital, expense, staffing, and revenue) for designated cost centers.
  • Contributes to the achievement of established department goals and objectives and adheres to the department policies, procedures, quality and safety standards.
  • Complies with governmental and accreditation regulations. Collects, analyzes, and manages departmental data, metrics, and KPIs for the purpose of evaluation, control, and planning. Assists with preparations for presentations and meetingsTakes minutes at staff and committee meetings, distributes reports appropriately. f. Maintains Preventive Maintenance database, generates reports statistics. Performs data entry on the work order tracking system.
  • Customer Service: Proactively offers assistance to supervisors and staff throughout the hospital Serves as primary liaison for Facilities and Environmental Services to other departments around MMMC and with external customers. Responds to all incoming calls, assessing the nature of the calls and dispatching to appropriate service or trade.
  • Assists with troubleshooting and resolving calls from patients, visitors or staff Takes accurate messages and follows through as appropriate. Dispatches service calls and refers emergency calls to supervisors. Schedules service venders as needed.
  • Serves as liaison with internal departments and external vendors. Routinely serves as main point of contact for EVS service requests via Mr. Clean" or other method of communication. Actively monitors teletracking to help facilitate timely patient discharges via EVS staff resources.
  • Supports inventory management for specialty beds and coordinates with vendors to maintain appropriate par levels. Assists with transport coordination for patients, equipment, furniture as needed. j. Applies MMOS principles to daily work, in an effort to continually improve processes in Facilities and EVS.
  • Development: Participates with supervisors in identifying learning needs Maintains current knowledge of technical and business developments and communicates relevant information to department leaders and staff When learning needs are identified, participates in training and development activities Attends hospital sponsored training programs as required by the department.
