General Summary of Position
Responsible for a wide variety of complex and routine administrative duties that supports the Quality Department and the Hospital's medicine practices and doctors. Manages day to day activities to ensure all operational responsibilities are completed in an organized, efficient, and timely manner. Requires excellent written and verbal communication skills for effective interdepartmental collaboration and coordination.


Primary Duties and Responsibilities

  • Administrative Support: Performs clerical/administrative tasks to support the efficient functioning of the Medical Staff & Quality department. a. Assist senior scheduler on an ad-hoc basis with physician Administrative calendar
  • . b. Reconcile timesheets and billing with the call schedule and submit weekly. c. Approve payroll biweekly for Hospitalists, PRN staff, and Quality Dept. d. Serve as point person for PCP's, patients, families, home care companies, vendors and pharmacies. e.
  • Coordinates on boarding of new physicians with medical staff and medical directors. f. Coordinates recruitment activities including interview coordination and ensuring hospital privileges and licensure requirements are met. g. Drafts correspondence for variety of different purposes. h. Screens and distributes incoming mail and correspondence. i. Order office supplies as needed. j. Provide data support (data entry, run reports) utilizing databases and spreadsheets.
  • Billing: Responsible for timely and accurate completion of all billing for treatment and care provided by hospital's physician practices. a. Updates daily reconciliation based on census list
  • . b. Facilitates conversations with Physicians United Billing Service for patients or families regarding billing questions. c. Responds and researches patient inquiries or other requests from HIMS, Patient Financial Services, and Nursing Departments.
  • Organizational knowledge: Works effectively within and between departments. a. Participates on inter-departmental teams and committees, communicating department knowledge as appropriate.
  • b. Provides department with information and knowledge acquired during participation with interdepartmental teams and committees. c. Coordinates consultations between hospital's physician practices. d. Attend safety huddle daily to report out hospital census, anticipated discharges, and geographic location of hospitalist medicine team.
  • CME/GME Functions and Duties a. Coordinate CME activities including Grand Rounds, Hospitalist Lunch and Learns, and Morbidity and Mortality conferences. b. Submit tri-annual reports to system level CME Coordinator. c. Orient new residents, fellows, and medical students. d. Develop annual report for Board/MEC on GME program as required by Joint Commission.
  • Development: Maintains current knowledge and develops new knowledge. a. Works with supervisor to identify learning needs and takes actions to address these needs. b. Attends hospital sponsored training programs as required by the department. c. Meets all mandatory obligations.

    Minimum Qualifications
    Education

    • High School Diploma or GED or equivalent required

    Experience

    • 1-2 years Administrative experience required and
    • Experience in medical setting, with medical billing and receptionist skills required and
    • Experience with computerized medical billing and scheduling systems. required

    Knowledge, Skills, and Abilities

    • Ability to read, write, speak and comprehend English
    • Moderate/Advanced Computer skills for data entry.
    • Proficient in Microsoft Word/Excel
    • HIPAA policies on Confidentiality


    This position has a hiring range of $48,235 - $84,468
