General Summary of Position
MedStar Georgetown University Hospital has a full time, day shift, hybrid opening for a Program Intake Scheduling Coordinator at our cancer center. The Scheduling Coordinator facilitates timely access to Oncology for new and returning patients, appropriately coordinates the patient's outpatient experience, and communicates with patients, external parties, internal financial resources, and the disease-site care team regarding patient access.  


Primary Duties and Responsibilities

  • Demonstrates understanding of physician group based on the patient need for primary cancer site care and/or metastatic cancer care
  • Clearly interprets scheduling guidelines/algorithms as outlined by the disease-site care team in order to coordinate appointment requests.
  • Accurately completes new patient demographic information and insurance data in approved organization electronic scheduling and billing systems (IDX Scheduling System)
  • Displays analytical thinking to gather additional referral information not available on initial contact by communicating with the referral source, patient and disease-site care team needed to coordinate care appropriately
  • Requests and collates patient pathology and other clinically-necessary materials from patient and referral source in adequate time prior to patient appointment(s)
  • Provides patient with complete new patient instructions packet prior to the patient's first appointment (i.e. appointments, directions, hotel accommodations, parking, clinic maps, and new patient clinical forms)
  • Sequentially schedules clinic appointments for patients accurately in conjunction with patient and physician preferences ensuring optimal efficiency in clinic operations and patient flow (i.e. overbooking, etc)
  • Exhibits knowledge of other oncology department scheduling operations (i.e. Infusion scheduling) and required tests necessary for designated disease-site team

    Minimum Qualifications
    Education

    • Associate degree required and in a healthcare-related field preferred.

    Experience

    • At least one year of work experience in a healthcare setting required.
    • Experience in effectively coordinating multiple tasks or activities required.
    • Experience in a multi-specialty physician practice required.

    Knowledge, Skills, and Abilities

    • Strong verbal and written communication, analytical, critical-thinking and independent problem solving skills;
    • Strong computer skills (IDX, Lotus Notes, Microsoft Office);
    • Strong knowledge of medical terminology and telephone etiquette;
    • Knowledge of oncology related terminology preferred;
    • Strong time management and task prioritization skills in a fast-paced, highly-productive environment;
    • Demonstrated ability to provide oral and written instructions, interact tactfully with customers and establish and maintain effective relationships with others;
    • Must be able to apply specific departmental policies rules and regulations relating to verifying patient information, collecting payments and maintaining records and forms.
