MedStar Health is looking for an Office Supervisor to join our team at MedStar Union Memorial Hospital!

 

The Office Supervisor is responsible for supervising and monitoring the day-to-day activities of office support staff, ensuring the efficient operation of the office or medical office practice. This role provides high-quality service, administrative support, clinical support, and financial administration for daily operations, while ensuring compliance with organizational policies and regulatory standards.

Primary Duties:

  • Staff Supervision & Development:
    Supervise office support staff (minimum of 2 FTEs), providing work direction, assigning schedules, and ensuring optimal coverage. Assist in the recruitment, training, and development of staff, and conduct performance evaluations. Provide ongoing communication to review progress, discuss new developments, and exchange information. Ensure staff compliance with departmental standards through competency and quality assurance testing.
  • Administrative Support:
    Perform complex and confidential administrative duties, exercising discretion and independent judgment. Prepare and direct reports, statistical analysis, forms, and other documents. Maintain and organize personnel records, time and attendance, and payroll records. Address problems and complaints as they arise.
  • Operational Management:
    Coordinate the daily activities of office personnel to ensure excellent patient service. Oversee procurement activities, including purchasing, receiving, inventory control, and utilization of equipment, materials, and supplies. Ensure proper maintenance of equipment, furnishings, and facilities.
  • Billing & Financial Administration:
    Coordinate billing procedures by obtaining credit card authorizations, collecting payments, and entering payment details into the system. Investigate billing discrepancies and resolve issues or escalate them appropriately. Perform end-of-shift reconciliation and prepare daily deposits.
  • Medical Office Support:
    Monitor and maintain medical office supply inventory, ensuring proper stocking of supplies and equipment. Clean, sterilize, and prepare exam rooms for patients. Discard outdated drugs from sample cabinets as necessary.
  • Front Desk Responsibilities:
    Perform front desk duties, including greeting patients, answering phones, scheduling appointments, registering patients, verifying demographic and billing information, entering procedure codes, and collecting payments. Identify and alert staff to any emergencies.

 

Minimum Qualifications:

  • High School Diploma or GED.
  • 3+ years of administrative/secretarial experience.
  • Supervisory experience preferred.
  • Strong understanding of departmental practices and procedures, with excellent problem-solving, organizational, and time management skills.
  • Ability to handle sensitive situations with discretion and maintain a strong commitment to quality, customer service, and teamwork.
  • Proficient in Microsoft Word and Excel, with exceptional verbal and written communication skills.
