Description

MedStar Health has a unique opportunity for a Laboratory Program Coordinator to join our team. In this role, you will serve as the point person, responsible for the coordination and support of technical and administration duties in the Clinical Laboratory department within MedStar Health.
Education

  • High School Diploma or GED required and
  • Associate's degree Business courses, administrative training, Anatomic Pathology or Laboratory related experience preferred
Experience
  • 2 years job-related experience in a Laboratory required and
  • 3-4 years Administrative/secretarial experience required and
  • Medical office, hospital or ambulatory setting preferred

  • Knowledge of email applications and performing web searches is necessary. Knowledge of hospital operations, medical terminology and Anatomic Pathology is desirable.
  • Transcription skills may be required.
  • Contributes to the achievement of established department goals and objectives and adheres to department policies, procedures, quality standards, and safety standards. Complies with governmental and accreditation regulations.
  • Coordinates Anatomic Pathology with responsibility for workflow and outcome. Resolves problems to ensure efficient operation of the section. Collects and maintains statistics as needed, schedules maintenance for equipment, ensures daily documentation is completed, maintains inventory of supplies.
  • Investigates and resolves problems within scope of authority. Takes initiative to determine appropriate action and resolution of various day-to-day matters, issues and projects within scope of authority. Exercises independent judgment with respect to real and potential problems and brings such matters to the attention of appropriate party with recommended action, when appropriate.
  • Registers specimens within insurance matrix, performs accessioning and receipt of specimens, enters demographic information into the system, including facts relating to the type of biopsy or surgical specimen received, number of tissue specimen received and makes comments regarding the condition of the specimens. Verifies accuracy of patient information and enters specimen data into the pathology computer system
  • Describes specimen types and prepares same for histological examinations. Assesses appropriateness and adequacy of specimens received and accuracy of clinical information provided. Rejects specimens that do not meet guidelines for acceptability.
  • Coordinates and is accountable for the integration, implementation, and compliance to regionally defined AP consolidation practices and procedures into department operations.
  • Performs maintenance, decontaminates counter surfaces, instruments and general work area according to laboratory protocol.
  • Establishes and maintains inventory system for the multiple laboratory cost centers using Lean principles. Orders supplies in People Soft and Office Depot.
  • Maintains slide and block storage system and monitors transport, storage, and disposal of anatomic pathology specimens, slides and blocks. Arranges for packing and shipping of slides, blocks and specimens and monitors pickup of specimens by couriers.
  • Creates and reviews policies and procedures in the Medialab document control system. Integrates regional policies and procedures into the local document control folders. Uploads personnel documents in the Medialab Personnel Documentation modules.
  • May assist in the selection, training, orienting and competency assessment of Anatomic Pathology staff. May make recommendations for personnel actions. Maintains personnel records and prepares and submits personnel forms.
  • Answers telephone, screens and routes calls, takes messages and provides prompt and appropriate assistance to callers. Resolves problems/issues or directs callers to appropriate resources. Picks up, opens and routes incoming mail and distributes correspondence and other material. Receives deliveries. May be required to transcribe minutes and take dictation. Performs all duties in timely, accurate and confidential manner. Takes and transcribes dictation of a highly confidential nature. Composes letters and memoranda from dictation, verbal direction, or knowledge of hospital policy or procedures.
  • Manages the administrative functions of the Laboratory. Plans, organizes and coordinates special projects, programs and/or events for the department. Arranges meetings, conferences, seminars, and other related activities for the department, including travel and lodging arrangements. Organization of meetings may include distributing materials, arranging for refreshments, preparing name tags, and transcribing minutes. Maintains appointment calendars for assigned staff.
  • May assist in the selection, training, orienting and assignment of department staff. May assist with development of standards of performance management planning. May initiate or make recommendations for personnel actions. Maintains personnel records and prepares and submits personnel forms.
  • Assists and coordinates client billing invoices and procedures for the department. Assists in the preparation and monitoring of operational budgets for designated cost centers.
  • Monitors and orders supplies and requests maintenance of office equipment. Recommends equipment replacement as needed and researches replacement options. Obtains/maintains contracts with maintenance/repair companies. Monitors work order requests for the department and acts as liaison with vendors and negotiates and resolves problems/issues.
  • Monitors quality assurance practices and creates reports for multiple laboratory cost centers. Evaluates data, identifies and implements quality improvement measures in collaboration with Quality Assurance personnel and Administrative Director.
  • Assists as needed with material or equipment being shipped or returned to vendors. May obtain return authorization, purchase order, and arrange packing and shipping means. Tracks progress of all repairs sent out, and track credits for returned goods. Assists with scheduling, coordinating and documentation of service and maintenance calls, alerting leadership of issues and status of equipment awaiting repair.
  • Processes check requests, travel requests, invoices, billing and purchase orders. Maintains accurate database and filing systems for the department. Maintains files of purchase orders and incoming orders, verifying that correct items are received. Handles discrepancies, back orders, credits.
  • Participates in meetings and on committees and represents the department and hospital in community outreach efforts. 26. Participates in multi-disciplinary quality and service improvement teams.
