As an Imaging Services Scheduler, you will answer calls from patients, referring physicians/physician offices and schedules appointments in the Imaging Services Department's central scheduling center for the areas of: Diagnostic Radiology, Center for Breast Health, POB Radiology, MRI, and CAT Scan. Answers calls from patients, referring physicians/physician offices, WHC and outside finance departments regarding appointments.

Primary Duties:
Receives and screens telephone callers to the department. Responds to various inquiries, referring them to the appropriate department(s) or individuals. Takes and forwards messages as appropriate. Schedules patients' appointments and confirms appointments. Completes preliminary “quick schedule” screen for new patients and updates information on existing patients (inpatients and/or outpatients). Understands technical requirements of each procedure and provides procedure description and preparation instructions to patient/patient care giver, and/or answers questions as necessary/appropriate. Has knowledge and understanding of exams performed in CT, MRI, radiology, ultrasound, fluoroscopy, and mammography. Directs medical questions to the appropriate clinical staff. *
Provides demographic/insurance or other related information to WHC departments, e.g., the Social Work Department, Utilization Review Department, other physician/providers, as needed and according to department procedure. Assists central financial clearing to obtain authorization from insurance companies. Ensures data quality standards are met through quality monitoring and report reviews. Identifies self-pay patients, contacts Manager to determine procedure, supply, and professional costs for self-pay patients, then notifies patients of cost/pay procedures. Assures that patients are aware of cost and requirement to pay 70% up front and sign agreement to pay the balance.
Obtains/assigns ICD-9 and HCPCS codes as needed/appropriate for billing purposes. Obtains appropriate CPT-4 codes from physicians. Understands appropriate clinical indications for exam ordered. Ensures that appropriate denial/appeal codes are entered in the billing system, within the required timeframes. Reviews/explains bill(s) to patients. Notifies Center personnel of new physicians and provides demographics or changes to demographics; obtains necessary authorizations/certification/verification/referrals, signatures, copies of insurance cards, etc.
Establishes and maintains a variety of files, records, logs, charts, etc. including departmental files. Retrieves files, records, charts, and/or the information therein as necessary. Assists in the orientation of new employees to the Central Scheduling department., Provides daily quality assurance for future appointment schedules (i.e., ICD-9 codes, exam type, OT cases, etc.)
May provide CPT codes to Central Financial Clearance and referring physician's offices. Notifies patients and physician's offices of required authorization, referrals and or scripts
Qualifications:
High School Diploma or GED.
1 to 3 years' experience, preferably in a doctor's office or medical environment/health care setting demonstrating a working familiarity with medical billing including ICD-9-CM and CPT codes and good organizational skills.
Experience working with an Electronic Medical Record (EMR), Radiology Information System (RIS), or computer-based scheduling system.
May require up to 1 year of technical or other specialized training including advanced training in secretarial/medical office support (e.g.: medical terminology, medical insurance/billing, etc.) and office administrative procedures including customer service.
