General Summary of Position
Provides direct administrative support to an organizational Vice President. The Executive Assistant handles all correspondence, schedules appointments and meetings, arranges all travel and conferences, and coordinates all functions hosted by the VP . These functions are performed in accordance with all applicable laws and regulations and Georgetown University Hospital's philosophy, policies, procedures and standards. This is a full time role, onsite 4 days per week and one day remote, at Georgetown University Hospital in Washington, DC.
Minimum Qualifications
Education
- Associate's degree AA degree in business management or related field required, BS Degree preferred.
- 5-7 years Progressively responsible administrative experience with at least two years of experience in a large complex work environment required.
- Demonstrated excellence in interpersonal, verbal and written communication skills as well as excellent writing and editing skills.
- Sound judgement and ability to think, act and make decisions independently.
- Strong public relations, finance, operational, and organizational skills necessary.
- Excellent knowledge of word processing, computer graphics, and spreadsheet software(s).
- Coordinates the administrative details related to the responsibilities of the VP, which include: planning, preparing, and compiling necessary information and materials for routine activities and participating in special projects. Meetings, seminars, activities, travel arrangements and appointments are appropriately scheduled and arranged. All written and verbal communications are evaluated to determine appropriate response. Problems are resolved and/or referred appropriately. Maintain daily and monthly tickler file.
- Performs administrative duties required to complete transactions for the VP. Completes and maintains confidential personnel records including current employee profiles, and other documents that pertain to nursing credentialing per JC. Composition of correspondence, memoranda, and reports are completed in an accurate and timely fashion. Files, Manuals and records are organized and kept current. Create and maintain binders for all of the VP and Chief Nursing Officer direct reports for nursing and operational goals, dash boards and patient comments by unit.
- Serves as the liaison in Hospital Administration to a wide range of hospital and medical center personnel and with individuals outside of the institution to affect the exchange of information, arrange for services and/or complete administrative tasks. Positive working relationships are established with key hospital and medical center personnel and outside individuals that facilitate action and response. Professional demeanor as appropriate for the position. Interactions with department visitors, staff, and key personnel are appropriate.
- Supports the initiatives outlines in the Operating Plan and assist with special projects as assigned by the VP. Project work meets objectives outlined by VP and and is complete within appropriate deadlines
- Prepares for, attends, and participates in the staff and other meetings as required, performs such functions as preparing meeting materials, taking and transcribing minutes, etc. Computer and paper files are organized, accurate and documentation and data is readily retrievable. Confidentiality of information is maintained at all times.
