Description

The individual will act as the interpreting services dispatcher for the department. They will be responsible for fielding incoming calls/requests and dispatching various interpreters as needed. Additionally, they will create schedules of requested patient needs; such as, surgical procedures, inpatient encounters, outpatient encounters, labor and delivery, Trauma, ED, mental health, etc. where an interpreter is required. They will manage calendars/ schedules for interpreters in the department assigning them to specific interpreting encounters. They will also answer email requests and coordinate between vendor/agency interpreters and staff interpreters. They will also provide a variety of high-level clerical support to the department manager, the department, and/or other department professionals.
Education

  • Associate's degree required
  • One year of relevant education may be substituted for one year of required work experience.
Experience
  • 1-2 years clerical experience preferred or
  • 1-2 years Interpreting Scheduling Experience preferred or
  • 1-2 years Previous experience with medical clerical work preferred
  • One year of relevant professional-level work experience may be substituted for one year of required education.

  • Excellent interpersonal communication and customer service skills, and good telephone etiquette.
  • Knowledge of medical terminology.
  • Effective oral and written communication skills.
  • Ability to perform in a high pressure environment.

  • Serves as the main point of contact for Interpreting Services; works as a dispatcher for same day requests with our department staffed interpreters. Answers and fields phone requests for interpreting needs. Dispatches interpreters as needed and refers associates to interpreting resources as needed. Responds to a variety of routine and non-routine interpreting inquiries.
  • Communicates scheduling information from processed requests into various calendars. Submits various requests to interpreting agencies/vendors as needed. This will consist of working with calendars/ scheduling software where the various language needs are documented and reported.
  • Creates schedules of various patient appointments from reports run from our system (IDX, MedConnect, etc.). Accurately enters complete demographics, and other important patient/ appointment information. Assign staff interpreters to scheduled encounters, and if needed, make requests to agency/vendors for additional interpreters. Assures accuracy and fill-rates of agency/vendor requests.
  • Provides support for scheduling interdepartmental huddles/trainings of presenting interpreting services to inpatient units hospital wide, and MWHC outpatient clinics, etc. Contributes to the achievement of established department goals and objectives while adhering to department policies, procedures, and quality safety standards.
  • Establishes, maintains, and processes a variety of files and records of interpreted encounters to ensure compliance (Section 1557, ADA and EI&D initiatives), and documentation of services. This will include patient and personnel information, agency reports, and other related records.
  • Maintain communication with management as necessary to ensure quality and continuity of services according to all applicable standards. Assists with the development and preparation of various reports and schedules under the direction of the manager. Coordinates adherence to deadlines and completion of special projects, correspondence, and reports.
  • Provides clerical support including typing, editing and copying of various clinical documents as well as protocols, policies, and presentations. Assists with preparation of presentations and other related documents for training, meetings, research and/or conferences.
  • Observes The Joint Commission (TJC) standards, Patient Safety initiatives, Patient Rights, and Health Insurance Portability and accountability Act (HIPAA) Privacy standards: Follows care, documentation and cleanliness standards in the performance of job duties; Completes in-services and education on a timely basis.
