Document Services Specialist

Executes database records, monitors and coordinates changes to the Document Management System (DMS). Assesses and advises on DMS application requirements. Reviews inquires and identifies and resolves DMS problems. Provides training to staff on printed and online documents. Compiles and maintains DMS manuals and other procedures.

Document Services Specialist II

Executes database records, monitors and coordinates changes to the Document Management System (DMS). Assess and advises on DMS application reequipments.  Reviews inquires and resolves DMS problems.  Provides training to staff on printed and online documents.  Compiles and maintains DMS manuals and procedures.  Develops and maintains new and existing print applications by writing code based on user requirements and system objectives into logical, efficient, and optimal design to ensure that business rules, security standards and government regulation are met.  Escalates issues to management for resolution.  Assists in creating and executing required test plans on all new and changed components. 

Responsibilities 

Document Services Specialist

  • Supports applications for all customers that use DMS. Executes, tests, and implements DMS with all changes, additions and/or deletions. Provides input to daily turnover logs. Provides alternatives and solutions to operational problems and process inefficiencies. Compiles inquiries from internal and external customers. Notifies IT staff of any errors which prevent document set-up. Coordinates with technical support and/or vendor to resolve problems.
  • Maintains knowledge of document management software and best practices to ensure an environment responsive to user requirements. Develops and maintains internal document security for the DMS. Maintains access list within the DMS database for secured reports. Updates and communicates document distribution changes for archiving. Assigns retention dates to all archived data per customer request and compliance. Monitors archive database space allocations.
  • Executes and maintains statistics for development of measuring the department's effectiveness.  
  • Reviews current procedures and revises to ensure for accuracy. Provides audit support and provides support in Disaster Recovery (DR) test.
  • Confers and coordinates with internal technical support staff concerning any DMS questions or problems. Confers with IT for future capabilities and technology upgrades.  
  • Conducts user training for internal and external customers who would use DMS. 
  • Mentors Digital Document Services (DDS) staff to encourage personal development in document management.
  • Remains aware of the status of all document completions and activities. 
  • Performs other duties as assigned.

  • Reviews current procedures and revises to ensure for accuracy. Provides audit support and provides support in Disaster Recovery (DR) test.
  • Confers and coordinates with internal technical support staff concerning any DMS questions or problems. Confers with IT for future capabilities and technology upgrades.  
  • Creates Curriculum and context to utilize during user training for internal and external customer who would use DMS.
  • Develops and maintains new and existing applications by analyzing, designing and writing code writing code that satisfies a logical, efficient and optimal systems design. 
  • Performs other duties as assigned.
  • Mentors Digital Document Services (DDS) staff to encourage personal development in document management.
  • Remains aware of the status of all document completions and activities.


Qualifications

Qualifications

Document Services Specialist

Education and Experience:

  • Bachelors' Degree in Computer Science or related field preferred, but will consider collective experience, training and education.
  • 3 years progressively responsible work experience in computer operations, programming, technical support, and document management systems.

Technical Skills and Knowledge:

  • Basic understanding of computer systems (hardware and software).
  • Technical knowledge in document management systems including distribution packages. Plus, experience with IBM JCL, CICS, MVS, and JES2 preferred. Strong technical and operational knowledge of various platforms and servers.
  • Basic Microsoft Office skills.

Document Services Specialist II

Education and Experience:

  • Bachelors' Degree in Computer Science or related field or the equivalent combination of education and training.
  • 5 years progressively responsible work experience in computer operations, programming, technical support, and document management system.

Technical Skills and Knowledge:

  • Intermediate Basic understanding of computer systems (hardware and software).
  • Technical knowledge in document management systems including distribution packages. Plus, experience with IBM JCL, CICS, MVS, and JES2 preferred. Strong technical and operational knowledge of various platforms and servers.
  • Basic Microsoft Office skills.
  • Basic understanding of programming design and coding techniques.
  • Familiarity with systems development life cycle.
