Title and Summary

Senior Executive Assistant Overview:

The Senior Executive Assistant provides comprehensive administrative support to the Chief Technology Officer, Operations and member of the Management Committee. This role is pivotal in ensuring the smooth operation of the department and involves a variety of responsibilities that require a high level of confidentiality and professionalism. The ideal candidate will be a master of multitasking, with the ability to manage a wide range of administrative and executive support-related tasks.

Role:

Provide comprehensive administrative support, including complex calendar management and optimization, scheduling meetings across time zones, and managing overall access to the executive

Ensure that the CTO Operations is adequately prepared for each day and the upcoming week, including having all necessary pre-read materials ready

Maintain a continuous 12-month travel calendar

Coordinate travel arrangements for both domestic and international trips, including the booking of flights, cars, and accommodations. Handle visa applications as required

Handles expense reporting in accordance with the company's Travel and Entertainment policy. Manages department purchases and Purchasing Card reconciliation, ensuring purchases align with the budget and comply with relevant finance policies

Manages internal and external inquiries by screening calls and emails, answering questions, and redirecting to appropriate personnel

Organize and prepare materials for staff meetings, including agendas and minutes. Ensure follow-up on action items. May create executive briefings

Organize group meetings, including offsites, and ensure logistics and pre-read materials are published with logistical detail

Uses discretion and care on a regular basis when working with sensitive/confidential data pertaining to the department or Mastercard

Acts as a leader to other business unit administrative support staff


All About You:

Demonstrate professional presence, strong relationship management abilities, self-motivation, and effective collaboration with individuals at all levels of the organization, including senior leaders, executive management, and external clients

Excellent written and verbal communications skills

Demonstrates strong decision-making skills, operates independently, and addresses problems creatively with a sense of urgency

Ability to work collaboratively, managing time and multiple commitments to deliver results in a highly cross-functional, fast-paced environment

Proficient in managing contracts and Statements of Work (SOWs)

Expert in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

Proficient in Oracle Financials, Teams, and Zoom

Demonstrate confidentiality, good business judgment and diplomacy when involved in high-level contact with internal/external stakeholders and exposed to sensitive information

In line with Mastercard's total compensation philosophy and assuming that the job will be performed in the US, the successful candidate will be offered a competitive base salary based on location, experience and other qualifications for the role and may be eligible for an annual bonus or commissions depending on the role. New York City, New York: $89,000 - $138,000 USD O'Fallon, Missouri: $74,000 - $115,000 USD
