Job Overview:
Performs general administrative duties to support day-to-day department operations in such areas as scheduling of meetings, travel arrangements, expense reporting, calendar management, taking and distributing meeting minutes, copying, screening mail, ordering supplies, and maintaining department records.
Responsibilities:
PRIORITIES
• Relieve management of administrative details such as T&Es and other processes
• Coordinate work flow
• Update and chase delegated tasks to ensure progress to deadlines
• Take initiative in manager's absence
COMMUNICATION
• Compose correspondence/reports for own or manager's signature
• Check deadlines on incoming requests and put preliminary work in play
• Process replies on own initiative or from manager's dictation or notes
• Research, draft or abstract reports
• Communicates with internal and external stakeholders: executive, administrative and line management personnel
APPOINTMENTS / MEETINGS / COMMITEES
• Maintain calendar ; ascertain which events require manager's presence and prioritize meetings
• Organise Operations and Strategic Committees meetings as well as the Accounts forum
• Fix commitments to maximize manager's time efficiency ;
• When manager chairs meetings prepare agenda in advance, arrange meeting facilities and all logistics
• Book appropriate venues when needed for client meals and/or offsites
• Work with external agency when needed for offsite/exceptional events
CONFIDENTIALITY
• Assure discreet handling of all internal and external business
• Act with diplomacy and discretion
VISITORS
• Organize appropriate logistics regarding all external visitors, including scheduling, catering and on-site reception and facilities coordination
TRAVEL
• Arrange travel following internal guidelines and process
• Handle itinerary, trip file, logistics as needed
ROUTINES
• Update mail/phone directories and mailing lists on Outlook
• Study and communicate company or department policies
• Cascade relevant communications to the Paris Office staff
• Recommend management action to improve standard operating procedures
• Collaborate on new procedures testing and implementation
• Perform admin process such as business continuity / crisis management support for manager and T&E, holidays approvals for team
All About you:
• Demonstrated professionalism and discretion, and experience in working with highly confidential information.
• Extremely collaborative and fostering a positive spirit and can-do attitude and is also extremely open in accepting feedback and suggestions.
• Extensive administrative experience in a corporate environment interfacing with c-suite executive level management, senior customers, and board members.
• Proficiency in Outlook and competency across the Microsoft Office suite including Word, Excel, PowerPoint.
• Experience with expense management platforms (such as Oracle).
• Experience in harmonizing across matrixed, cross functional and global organization structure.
• Experience in supporting senior level executives in a fast-paced corporate work environment.
• Must be proactive and solution oriented, looking for ways to add value and assist the team.
• Strong communication skills (written and verbal).
• Intrinsically-motivated, highly organized, detail-oriented and results-oriented.
• Able to work well under deadlines, anticipate needs and prioritize work accordingly.
• Fluent French and English required
