Project Management Administrator - Capital Projects & Facilities

Job Summary:

We are seeking a highly motivated and detail-oriented Project Coordinator to support our Capital Projects & Facilities team. The ideal candidate will be responsible for tracking multiple unit renovation projects, parts ordering, purchase order and contract generation, and monitoring. The candidate will have experience working in a property management environment that focuses on value-add and renovation projects. This is a Remote position, Quarterly Meeting travel to Naperville, IL, travel for DD or site visit.

Travel Requirements:

  • Quarterly meetings in Naperville, IL
  • Occasional travel for due diligence
  • Occasional travel for site visits

Key Responsibilities:

  • Support the Capital Projects & Facilities team in coordinating and managing renovation projects across the portfolio.
  • Process and manage project approvals, contracts, and change order
  • Track the progress of multiple unit renovation projects to ensure timely completion.
  • Order parts and materials required for renovation projects efficiently and effectively.
  • Generate and monitor purchase orders and contracts to ensure compliance and accuracy.
  • Communicate with vendors and contractors to ensure timely delivery and execution of work.
  • Maintain detailed records of project expenses and budgets.
  • Assist in the preparation of project reports and presentations for management.
  • Collaborate with team members to ensure project objectives are met
  • Track project-level reporting that demonstrates budgeted, contracted, and paid values (job cost tracking, analysis, and reporting).
  • Track exact unit costs and follow up with Property Management Staff on invoicing and posting costs.
  • Review project accounts payable and receivables.
  • Maintain and update vendor compliance records, including insurance, lien waiver, retention, and W-9s.

Qualifications
  • Bachelors degree in Business Administration, Construction Management, or a related field preferred.
  • Minimum of 3 years of experience in a property management environment with a focus on value-add and renovation projects.
  • Proficiency in using Excel and project management software; experience with Yardi Job Cost is a plus.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Attention to detail and a high level of accuracy in work.
