7:30am - 4:00pm, Mon-Fri

Job Summary

Manages the daily operations of Patient Access staff to ensure patient safety and satisfaction as it relates to the registration and admission processes. Strives to optimize the facilities financial performance.

Minimum Qualifications

Minimum Education: Associate's Degree
Minimum Years of Experience: 5 Years of management success in full range of patient revenue cycle management or related area
Substitutable Education & Experience: Bachelor's Degree with 3 years of management success in full range of patient revenue cycle management or related area
Required Certifications/Licensure: None.
Required Training: Procedural knowledge of Medicare, Medicaid, third party billing, reimbursement, corporate compliance, and regulatory compliance;
Familiar with medical terminology, insurance billing, coding, data capture/registration systems, eligibility access systems, imaging systems, managed care requirements, and medical record documentation requirements;
Experience managing multiple sites with skills in providing a bridge between Patient Access and clinical activities to improve financial/clinical outcomes;
Working knowledge of mathematical/financial logic and terminology is required to perform calculations when compiling and auditing budget reports or expense accounts.

Essential Functions
  • Assures all responsible department (Central Registration, Radiology, Women's Imaging, Bed Control, Insurance Specialists, Registrars in Physician Practices, Emergency Department Registration and Lexington and Irmo Urgent Care) registrations are completed in a timely, accurately and effective manner.
  • Plans work schedule for 24/7 shifts, assuring sufficient coverage at all times.
  • Provides proper orientation and training of new employees; maintains a written on-boarding plan (minimum of 40 hours) and revises as necessary.
  • Establishes and updates policies, procedures and job manuals that are consistent with current standards. Conducts monthly departmental meetings and follow-up on any unresolved issues from the meetings in a timely manner. Attends corporate compliance in-services and adheres to overall hospital compliance programs.
  • Works with Director to design systems, organizational structure and staffing patterns that promote efficient and effective department operations.
  • Responsible for the data integrity for the Patient Access Department which contributes to the reduction in AR days (correct data entry follows the patient from pre-service thru repeat visits, which also contributes to exceptional customer service). Correct data entry assists with the preparation of the quality monthly departmental statistical report.
  • Assures that departments are in compliance with applicable regulations, including those of DHEC, DNV, Corporate Compliance, EMTALA, HIPAA and other regulatory agencies.
  • Reviews productivity and accuracy reports submitted by supervisors and proactively responds to areas of necessity. Uses data to identify performance improvement activities. Reports appropriate findings to the Director.

  • Performs all other duties as assigned by authorized personnel or as requested in an emergency, e.g., fire or disaster.

  • Participates and leads multi-disciplinary teams and task forces as needed.
  • Adapts to constantly changing healthcare environment by recognizing opportunities for improvement and embracing change to bring about improvements. Exercises independent thinking, judgment and decision-making and accepts accountability and responsibility for decisions and consequences.
  • Prepares the department's FTE, capital & operating budget.  Once approved, ensures that all components of the budget are adhered to. Explanations are provided for deviations or variances that are greater/lesser than 5% of established budget.
  • Responsible for the near term/long term “needs planning” for the departments to include FTEs, physical location space, equipment, supplies, etc.
  • Responsible for assuring the security of equipment, patient receivables (cash, checks, credit card receipts) which may be kept in the department.
  • Responsible for assuring that patient information and restricted information is in a confidential and controlled manner.
  • Responsibility for Monitoring Cash Drawer Closings and for Monthly Cash Drawer Audits.
  • Responds to Feedback Reports as appropriate.
