Vendor Representative
Norton Shores, MI
Onsite: Mon – Fri 8am – 5pm
The Frontline Customer Service Team, which includes Vendor Representatives, manages the customer experience. Tasks include internal/external customer service, initiating Purchase Orders, daily communication with Vendors/Suppliers on behalf of the client, Daily and weekly reporting to monitor the health of the business and efficiency suppliers. As a Vendor Rep, responsibilities include:
- Review incoming key parts and/or inventory daily for parts that need to out to Supplier for repair or overhaul.
- Issue purchase orders daily, shipping parts to suppliers with all required verbiage and repair overhaul instructions.
- Work with internal team to determine priority for parts moving through the repair or overhaul process at suppliers to ensure we will meet customer delivery requirement.
- Track and monitor all parts in transit to/from supplier and client to ensure parts are received/delivered to supplier or client.
- Approve supplier quotes per client guidelines of acceptable pricing and work requested. Work with supplier and push back as needed to ensure acceptable pricing, contractual pricing, appropriate concession, or fulfillment of the original PO request is received.
- Review client At Repair reports to determine TAT and past due at repair with suppliers and reconcile Open POs with supplier open order listing.
- Work with Suppliers to improve or escalate due dates, including contractual turn times with individual suppliers to meet customer client requirements.
- Save digital copies of all PO quotes received in the appropriate electronic PO folder.
- Update SAP system with expected due dates on all open POs, document all communication with Supplier.
- Prioritize email response to internal and external customers based on level of urgency.
- Professional communication with all customers/suppliers via phone, email and in-person communication.
- Coordination with Lead, Supervisor, Manager and Client on daily escalations, as required.
- Research to locate additional information as necessary using company systems and/or digital and physical files.
- Provide management, client managers or programs with any requested information concerning suppliers, open or closed PO's, etc. as needed for review.
- Coordinate with other internal Vendor Representatives and Inventory Planners for part repairs, as required.
Qualifications:
- Good organizational skills.
- Good verbal and written communication skills.
- Must be able to prioritize and make quick decisions.
- Ability to work under deadlines in a fast-paced work environment.
- Strong customer service background in an industry that moves parts.
- Computer literacy required in Microsoft Office Products such as Word and Outlook.
- Strong Microsoft Excel background required.
- Some logistics experience preferred.
- Some inventory management preferred.
- High school diploma is required, A BA is preferred.
