
Description
We are seeking a detail-oriented and proactive Order Processing Rep II to support our internal and external customers by performing a range of tasks including searches, document retrieval, preparation, execution, filings, and recordings across various jurisdictions. This role requires an individual with strong customer service skills, a willingness to challenge existing processes, and a desire to improve efficiencies while maintaining high-quality work standards.

Shift: 8:00am to 5:00pmPST
Pay rate: $25/hr
Key Responsibilities:

Perform searches and document retrieval, preparation, and execution, as well as filings and recordings at all jurisdictional levels.

Assist internal/external customers and vendors with order fulfillment and problem resolution.

Demonstrate and explain service offerings, procedures, processes, methodologies, delivery options, and jurisdictional requirements to customers, team members, and vendors.

Make informed and timely decisions to meet client expectations and requirements.

Offer recommendations to improve customer satisfaction, retention, efficiency, revenue growth, cost savings, and financial results.

Analyze existing procedures and processes, suggesting improvements to enhance team efficiency and overall customer and employee satisfaction.

Provide training to customers, team members, and vendors on products, jurisdictional requirements, and company databases using a consultative approach.

Maintain a high level of accuracy and attention to detail in all tasks, ensuring high-quality work at all times.

Support team efforts to reach both individual and team performance goals.

Share best practices and offer helpful hints across teams to enhance service delivery.

Gain in-depth knowledge of jurisdictional requirements for mortgage filings after training.

Respond to process inquiries and incoming order requests, including data entry, document preparation, photocopying, scanning, and email correspondence.

Research and liaise with county recorder's offices to obtain filing status or customer information.

Contact county clerks or designated county correspondents to gather filing status and submission requirements.

Communicate with customers and sales teams to resolve status and filing turnaround time issues.

Provide administrative support to other departments as needed.

Present complex issues and potential solutions to management.

Stay updated on product knowledge and market trends.
Qualifications:

Typing test required

Previous customer service experience is preferred.

Strong attention to detail and the ability to maintain high-quality work.

Ability to handle multiple tasks and deadlines with a focus on customer satisfaction.

Ability to work collaboratively with both internal teams and external customers.

After training, ability to understand jurisdiction requirements and mortgage filing processes.

Proficiency in handling document management, research, and data entry tasks.
