Office Manager
Our client is seeking an Office Manager to provide essential administrative support to their office, ensuring the smooth operation of activities and contributing to effective management of budgets, reimbursements, and other financial processes. This position is a temporary opportunity with the potential to hire full time.
- Pay: $22.3
- Hours: Monday – Friday 8:30am – 5:00pm
- Location: University Circle, Cleveland Ohio
Working under general direction and reporting to the Associate Director of Operations for Medical Education, the Office Manager will be responsible for coordinating logistics for events and meetings, supporting the leadership team, and managing day-to-day tasks in the office. This role plays a crucial part in facilitating the office's mission.
Essential Functions:
- Financial Management (30%):
- Authorize routine department expenditures, prepare or assist in preparing budgets, reconcile monthly expense statements, and conduct budget analysis/forecasting.
- Aid in the processing of reimbursements and honorariums and play a significant role in budget reconciliation for various programs and activities.
- Administrative Support (20%):
- Process complex and highly confidential information.
- Provide high-level administrative support to Med Ed Leadership, including coordinating appointments, managing calendars, and organizing office communications.
- Attendance Tracking (20%):
- Manage attendance tracking and reporting for medical students, updating the attendance system consistently and handling correspondence regarding attendance or performance issues.
- Meeting Coordination (10%):
- Arrange meetings and maintain necessary correspondence with attendees.
- Collaborate with other offices to ensure consistent data collection and reporting.
- Office Management (10%):
- Oversee day-to-day operations of the office, providing general support, visitor management, and ensuring smooth office functions.
- Experience: 6 years of related administrative, financial, or secretarial experience required.
- Education: High school diploma required; bachelor's degree preferred.
- Excellent communication skills, both written and verbal.
- Ability to actively learn and understand new information for problem-solving and decision-making.
- Proficiency in operating office equipment, including copy and fax machines.
- Strong financial management skills, including budget preparation and expense reconciliation.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with database management systems.
