Full Charge Bookkeeper opening in Rochester NY
Role: Full charge Bookkeeper (accounting and payroll - QuickBooks)
Location: Rochester NY
Duration: Full-time ; direct hire
Compensation: $25.00 – $35.00/hr
Start Date: May (position open due to planned retirement)
Reports to: Director of Finance

Key Responsibilities
Time & Billing
- Assist with monthly client billings and AR collections
- Maintain time & billing database
- Generate monthly and ad hoc reports
- Answer client inquiries and assist with year-end procedures
General Ledger & Bookkeeping
- Record transactions, perform monthly reconciliations
- Create and record invoices and payments
- Maintain and oversee QuickBooks files
Accounts Receivable
- Record daily deposits and receipts
- Review bank accounts for incoming/outgoing transactions
- Reconcile VPM records and cash entries
Expense Reports & Payroll
- Enter and reconcile partner and staff expenses
- Maintain payroll tracking spreadsheets
- Process semi-monthly payroll for 4 entities using Paylocity
Accounts Payable
- Enter payables and prepare schedules in QuickBooks
- Manage vendor records, W-9s, and approval workflows
- Monitor office supply orders and assist with cost-saving analysis
Administrative Support
- E-file firm and staff tax returns
- Assist with mailings, phones, and office support
- Notary duties (preferred)
- Support time/billing changes and corrections
Requirements
Education & Experience
- HS diploma required; Notary Public a plus
- 3+ years of full-charge bookkeeping experience in a financial environment
- Understanding of WIP
Skills & Software
- Advanced QuickBooks knowledge (Desktop & Online)
- Intermediate Excel and basic Word skills
- Familiarity with Paylocity and Practice Management Workstation in CCH is a plus
- Strong written and verbal communication skills
- Excellent attention to detail and confidentiality
- Positive, team-first attitude with a willingness to learn and adapt
