We are looking for an Executive Assistant for our client in Charlottetown, PE with the healthcare sector. The Executive Administrative Assistant to the CEO provides confidential senior administrative and secretarial support to ensure the effective operation of the CEO's office. This role involves a wide range of administrative tasks, including scheduling, correspondence preparation, and liaising with various stakeholders to facilitate smooth communication and operations within the organization.
Please note: this is a contract position set at 3 months, with a possibility of an extension or conversion.
Duties and Responsibilities:
1. Administrative Support (80% of Role)

  • Provide comprehensive administrative and secretarial support to the CEO, including:
    • Assist in the preparation of briefing notes, reports, and other materials.
    • Draft correspondence, memoranda, and documentation on various subjects, ensuring confidentiality is maintained.
    • Develop and maintain directories of frequently contacted individuals within the organization and external agencies.
    • Schedule meetings and appointments, manage the CEO's calendar, resolve scheduling conflicts, and coordinate travel arrangements.
    • Maintain organized administrative and electronic files in accordance with Records Information Management principles for effective information retrieval.
2. Liaison Responsibilities
  • Maintain positive working relationships with the Executive Leadership Team.
  • Assist the CEO in business-related interactions with government levels, agencies, and private sector stakeholders.
  • Interpret and communicate legislation, departmental policies, and programs as appropriate.
  • Liaise with various government offices, professional organizations, and advocacy groups to facilitate communication and collaboration.
3. Scheduling and Meetings
  • Schedule and coordinate meetings, ensuring all arrangements are in place, including:
    • Preparing meeting materials in advance and notifying participants of meeting details.
    • Arranging logistics such as guest speakers, room bookings, and audio-visual equipment.
4. Communication and Information Flow
  • Understand and communicate the mission and services.
  • Manage incoming inquiries via phone, email, and in-person, directing them appropriately.
  • Review and summarize correspondence and reports, flagging priority issues for the CEO.
  • Follow up on CEO requests, ensuring deadlines are met and actions are completed.
5. Travel Arrangements (10% of Role)
  • Coordinate all travel arrangements for the CEO, including in-province and out-of-province travel and accommodation.
  • Prepare and submit travel claims as required.
6. Other Duties (10% of Role)
  • Order office supplies and issue Local Purchase Orders as necessary.
  • Maintain an organized filing system.
  • Assist with special projects assigned by the CEO and perform other duties as required.
Position Requirements:
  • Minimum Qualifications:
    • Successful completion of Grade 12.
    • Completion of a recognized post-secondary program in secretarial studies, office administration, or business.
    • Extensive experience providing senior administrative support.
    • Proficiency in Microsoft Office Suite and related software.
    • High degree of proficiency in English composition and communication.
    • Strong organizational, time management, and interpersonal skills.
    • Excellent decision-making abilities and judgment.
    • Capacity to work efficiently under a demanding workload.
  • Other Qualifications/Assets:
    • Records Information Management training is an asset.
    • Bilingualism is considered an asset.
