What's a typical day as Administrative Assistant II? You'll:
  • Provide comprehensive administrative support, including document preparation, data entry, record maintenance, and invoice processing.
  • Coordinate meeting and travel arrangements, including booking flights, accommodations, and scheduling itineraries.
  • Manage expense reporting using Concur and handle vendor management tasks.
  • Support event planning and execution, including organizing business meetings, offsite events, team-building activities, and corporate gatherings.
  • Assist in facilities maintenance and oversee office supply procurement, catering coordination, and general clerical duties.
  • Handle confidential and sensitive information with professionalism, discretion, and sound judgment.
  • Oversee merchandise orders, gifts, shipping, and receiving, ensuring accurate order fulfillment and resolution of return issues.
  • Prepare and run various reports related to human resource tracking, accounting, and operational needs.
  • Serve as the primary point of contact for external guests and partners, ensuring a professional and welcoming experience.

This job might be an outstanding fit if you have:
  • Bachelor's or College degree preferred.
  • Minimum of 3-5 years in an administrative role, with experience in the pharmaceutical industry required.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong internet research and time management skills.
  • Experience with Concur for expense reporting is a plus.
  • Exceptional written and verbal communication skills, with the ability to communicate complex or sensitive information effectively.
  • Strong organizational and problem-solving skills, with meticulous attention to detail.
  • Ability to work independently and handle shifting priorities in a fast-paced, innovative environment.
  • Professionalism, discretion, and sound judgment in handling confidential and sensitive materials.
  • Experience in planning and executing events, including logistics coordination, vendor management, and problem resolution.
  • Excellent interpersonal and customer service skills, ensuring a smooth and positive experience for team members and external stakeholders.
  • Familiarity with consulting regulations when working with Health Care Professionals (HCPs) and Key Opinion Leaders is a plus.
