Job Title: Accounts Payable Specialist
Job Summary:
Join our dynamic finance team as an Accounts Payable Specialist! Located in a fast-paced environment, this full-time position offers you the opportunity to leverage your financial expertise while ensuring the accuracy and efficiency of our accounts payable processes. With a minimum of 2-3 years of applicable experience, you will play a crucial role in managing vendor payments, processing expense reimbursements, and reconciling accounts to contribute to the overall financial health of the firm.
Job Specifications:
- Job Type: Full-time
- Location: Appleton, WI
- Pay Rate: $25/Hour
- Shift: Monday – Friday, 8:00AM to 5:00PM
Roles and Responsibilities:
- Review accounts payable invoices and assign vendor numbers while confirming correct accounting codes.
- Manage recurring EFTs and edit payment schedules as necessary.
- Generate journal entries and process expense reimbursements and vendor payments.
- Track due dates to ensure timely submission of payments.
- Reconcile company credit cards and multiple bank accounts, addressing any issues that arise.
- Participate in the development of accounts payable processes and policies, recommending innovative improvements.
- Collaborate with legal support staff to establish best practices that minimize errors and inconsistencies.
- Prepare requested reports, including monthly hour recaps and various reports for non-shareholders.
- Assist the Finance Director with data entry and project coordination tasks.
- Act as backup to primary billers to ensure continuity of workflow.
- Organize and file the firm's financial documents according to established procedures.
Qualifications & Skills:
- High School Diploma required; Associate Degree in Finance, Accounting, or related discipline preferred.
- Minimum of 2-3 years of applicable experience or equivalent combination of education and experience.
- Strong understanding of financial statistics and accounting principles.
- Detailed ledger experience in accounts receivable and accounts payable.
- Proficiency in Microsoft Office, particularly Excel.
- Excellent analytical and problem-solving skills with a focus on maximizing costs and efficiencies.
- Ability to handle confidential business matters with discretion.
- Strong organizational and communication skills with attention to detail.
- Ability to thrive in a high-intensity, fast-paced environment and manage independent work effectively.
