The Portfolio Operations Lead is a critical role within the IT Project Management Office (PMO), responsible for managing and optimizing the tools, systems, and processes that support portfolio management and project delivery. This individual ensures data integrity, process consistency, and seamless operations across the PMO. They also facilitate key portfolio functions such as project intake, status reporting, and collaboration between Technical Portfolio Managers and leadership.
Key Responsibilities
1. Tools Administration and Oversight
• Serve as the primary administrator for PMO tools such as Smartsheet, Azure DevOps (ADO), and the project intake system.
• Maintain system configurations, user access, and integrations to ensure tools are optimized and aligned with PMO processes.
• Troubleshoot issues, manage updates, and provide training to PMO team members on tool usage.
2. Data Governance and Reporting
• Ensure all portfolio data is accurate, up-to-date, and consistent across systems.
• Develop and maintain dashboards, reports, and metrics to support portfolio visibility and decision-making.
• Establish and enforce standards for data quality and reporting formats.
3. Process Management
• Organize and run the intake process and ExpressLane, ensuring appropriate teams are engaged for estimation and prioritization.
• Streamline workflows for project intake, resource allocation, and prioritization to improve efficiency and transparency.
• Collaborate with Technical Portfolio Managers to support their teams in adhering to PMO processes and timelines.
4. Stakeholder Collaboration
• Partner with Technical Portfolio Managers to ensure their teams have the data and tools needed for status updates, leadership report-outs, and portfolio reviews.
5. Continuous Improvement
• Identify opportunities to improve PMO tools, processes, and workflows, driving efficiency and consistency.
• Stay updated on best practices and emerging tools in portfolio management, recommending enhancements as appropriate.
6. Governance and Compliance
• Ensure adherence to PMO governance standards, including project intake criteria, status update protocols, and reporting schedules.
• Monitor compliance with established frameworks, escalating risks and issues as needed.
• Support audits and reviews to ensure data integrity and process compliance.
7. Training and Support
• Develop and deliver training materials and sessions for PMO tools and processes.
• Provide ongoing support to project managers and stakeholders, addressing questions and resolving issues.
Qualifications
• Education: Bachelor's degree in business, technology, or a related field preferred.
• Experience:
o 5+ years of experience in portfolio or project operations, process improvement, or tools administration.
o Proficiency in portfolio and project management tools (e.g., Smartsheet, Azure DevOps, ServiceNow).
o Experience in data governance and reporting, with a strong attention to detail.
• Skills:
o Strong organizational and analytical skills.
o Excellent communication and collaboration abilities.
o Technical aptitude for managing and optimizing PMO tools.
o Knowledge of portfolio/project management methodologies (Agile, Waterfall, etc.).
