Description
The Clinic Assistant is responsible for supporting the day-to-day activities of the assigned area, This includes greeting patients, scheduling appointments, answering phones, and maintaining patient records. The Clinic Assistants may also perform other clinical tasks per service line procedures.
Reporting to the clinic manager, the clinic assistant is responsible for supporting the day-to-day activities within the Otolaryngology, head & neck Surgery clinic. This role performs administrative functions for the clinic. The Clinic Assistant will also be responsible for transporting equipment needed for clinic procedures and appropriate storage of these items. The Clinic Assistant will ensure uploading of images into appropriate applications, support front desk functions as assigned and support referral management processes, including faxes, sending and receiving referrals in appropriate applications.
Essential Duties:
- Supports the timely transporting of equipment needed for clinic procedures, per hospital protocol, to appropriate areas and/or providers (includes logging drop-offs and pick-ups to minimize reprocessing of unused equipment)
- Reviews the list of appointments for the day for OHNS HC4 providers to ensure sufficient scopes/instruments/supplies available, takes note of persons-of-interest and research participants who may require special attention, reviews with MAs and Works with Department Leader and Lead staff to develop par levels and orders instruments to ensure sufficient inventory is on hand and available, suggests procurement of additional instruments, supplies when necessary
- Uploads patient images from CDs into Synapse using Ambra, ensures images are viewable following uploading, returning CDs to patient
- Assists front desk in rescheduling patients as needed due to provider call outs or emergencies, clinic preparation, end-of-day schedule reconciliation, and other duties as assigned by lead scheduler
- Referral management responsibilities includes monitoring, sorting and distributing faxes multiple times a day. Reviews Ambulatory Referral Management worklists as assigned by clinic manager and processes referrals.
- Reviews worklist or schedules for upcoming new patient appointments and mails or emails new patients packets as instructed by clinic manager. Hands off follow up to patient navigators to ensure patients complete required forms and submit required medical records and images prior to visit date.
- Supports the clinical team in the handling of unanticipated medical emergencies, adhering to hospital policy, in a timely and competent manner, always putting patient safety first
- Other duties as assigned.
Required Qualifications:
- Req High school or equivalent
- Req 1 year Customer service experience
- Req Displays behaviors conducive to excellent customer service.
- Req Must have excellent communication skills, including the ability to speak, read and write English proficiently.
- Req Computer literacy

- Req Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire, and maintained by renewal before expiration date. (Required within LA City only)
The hourly rate range for this position is $22.00 - $34.18.
