Petroleum Operations Coordinator

Intertek is searching for a Petroleum Operations Coordinator to join our Caleb Brett team in our Burnaby, British Columbia office.  This is a fantastic opportunity to grow a versatile career in the Assurance, Testing, Inspection and Certification field.

GENERAL DESCRIPTION OF RESPONSIBILITIES

The Coordinator performs office work directly related to Intertek general business operations and customarily and regularly exercises discretion and independent judgment. The main function of the Coordinator is to manage designated accounts for a particular branch office, area, or region. This management function extends to Intertek customers, and includes Intertek sales, customer service, consulting, and collections groups. The Coordinator is responsible for managing job nominations and/or assignments from specific customers for a particular branch office, area or region. Additionally, the Coordinator shall be the single point of customer contact for business related to that particular branch office, area or region.

SPECIFIC RESPONSIBILITIES

Listed examples are illustrative and representative of the tasks required of this position and are not intended to be complete or exclusive.

Prior to Loading/Discharge:

  • Accepts orders from all clients, agents and/or terminals for sampling, inspection, surveying and analytical services.
  • Review client instructions and identify potential problems regarding operations, conflict of interest, ethics or compliance and to alert relevant parties in order to seek solutions.
  • Upon receipt of an order for services, completes nomination confirmation, work order, prep requests and any special client instructions.

During Loading/Discharge:

  • Maintains contact with terminals, clients, agents, union personnel and other Company offices as generally required during loading/discharge and particularly where problems are encountered which results in delays.
  • To act as a single point of contact for designated clients for all instructions.
  • Record events in job files communication sheets of correspondence, communication and any on going issues and action.

Completion of Loading/Discharge:

  • Upon completion of loading/discharge, collects the information provided by field personnel, communicates with the laboratory regarding analysis performed and assembles a final report ready for review and publishing
  • Investigates discrepancies and, in accordance with standard operations procedures or with the approval of management, initiates appropriate corrective action.
  • Assembles the completed information for execution of final certification.
  • Maintain good records on jobs for purposes of billing, volume reconciliation, claims handling etc.

Ongoing Customer Relations:

  • Maintains regular contacts with clients through meetings, telephone calls etc.
  • Maintains a geographic awareness of Intertek locations and capabilities.
  • Research and draft new work instructions and continually assess the effectiveness of work instructions and make recommendations that will improve performance.

On call duties:

  • On a rotational basis provides off day coverage from Monday to Friday and Twenty-Four (24) hour coverage on Saturday and Sunday to provide liaison as required between clients, agents, terminals, management, union personnel and other Company offices.
  • While on call, coordinates manning requirements for work orders with the union representative dispatcher that may arise during “On Call” rotational coverage.

Purchasing

  • Creates purchase orders for field and office supplies in accordance with inventory guidelines for Management approval.

Quality Assurance and Training:

  • Monitors adherence by Company personnel to work instructions and reports incidents of non conformance. Where applicable, initiates corrective action.
  • As directed, coordinates and conducts internal/external quality assurance audits, maintains control of all documents, including the policy and procedures manual.
  • As directed, trains personnel on relevant aspects of the quality assurance programs and maintains training documentation.

General:

  • Perform other duties as required including but not limited to preparing invoices, acting as the receptionist and delivering of documentation to clients, etc.
  • To Carry out the above responsibilities and all others which may be assigned, in a manner demonstrating support for and adherence to the Company's Safety Policy and Procedures, Quality, Policy and Procedures, Ethics Policy, Environmental Management System, Vision and Strategy, and to exercise good judgment, common sense and diplomacy in so doing.
  • A Coordinator can expect to be given full cooperation and assistance by all Operations and Laboratory staff in the completion of any given job.
  • Carrying out all responsibilities in a supportive manner with total adherence to: The Company's Health, Safety and Environmental Policies and Procedures, Quality Management System, Compliance and Ethics Policies, Vision, Mission and Strategy, and exercises good judgment, common sense, and diplomacy.

EDUCATION AND EXPERIENCE REQUIREMENTS

  • A sound knowledge of petroleum, minerals, agricultural product and chemical inspection procedures.
  • An understanding of the business requirements of the client, relative to the purpose of the services provided.
  • A full understanding of the Company Compliance and Zero Tolerance Policies.
  • A working knowledge of the testing of those commodities that are at the core of the business, and of the significance of quality test data.
  • Able and willing to travel.
  • A calm demeanor while under pressure from operational circumstances or demands of the client.
  • A positive attitude and ability for working and communicating with individuals of diverse cultural backgrounds and sensitivities.
  • Two years of experience in an inspection company, a knowledge of basic contract do's and don'ts.
  • The overall ability to analyze relevant information available in any situation involving assigned customer base, and to make accurate decisions.

Salary & Benefits Information

The base wage or salary range for this position is $35.00 - $37.00 hourly. Individual compensation packages are based on a variety of factors unique to each candidate including skill set, experience, qualifications, and other job-related reasons. In addition to competitive compensation packages, Intertek employees are eligible for a variety of benefits including paid time off, paid holidays, medical, dental, vision, life, and disability insurance, RRSP with company match, tuition reimbursement and more.
