The Mail & Facilities Assistant will be responsible for the efficient operation of the corporate inventory and mailroom function. Provide all financial centers and departments with timely and accurate mail service through multiple channels. Also maintain postal inventory levels and producing month end reports. The Mail & Facilities Assistant will be responsible for 7th Street location inventory management, including purchasing facilities inventory. Will assist with facility coordination and may occasionally travel to branch locations. Assists Facilities Coordinator for Cullen Street location.
Core Responsibilities:
· Responsible for purchasing office supplies, forms and special orders through multiple vendors, taking inventory related to all office supplies and forms for 21 financial centers. Receives delivery of office supplies, inspecting and ensuring counts match supply order. Stocks office supplies in supply room, processes inventory documents, follows up on supply shortage and processes necessary documents for refunds and price adjustments providing documents to EECU Accounts Payable/Receivable for billing adjustments.
· Pick up and deliver mail from/to USPS to/from corporate office and Cullen, process, and distribute mail internally for 21 financial centers.
· Prepares daily inner office courier bags with supplies, mail and misc. items for delivery to and from 21 financial centers through FW Courier Services.
· Serves as administrator for setting up new users on FedEx and UPS software.
· Responsible for replenishment of Postal Machine Meter using USPS software, maintaining daily log of multiple departments
· Responsible for daily back-up of DL Inventory Program
· Responsible for keeping abreast of new and updated Postal Laws and the renewal of Postal Permits, Fees, and PO Boxes
· Assists Facilities Manager with facilities coordination.
· Regular attendance is an essential function of this position.
Candidates for EECU should possess the following knowledge and experience:
· Minimum one to two years in Mail Room Shipping/Receiving
· Ability to process metered mail. Familiarity in the use downloading additional postage to the mail postage machine
· Proficient in Microsoft Excel, Word, Outlook
· Ability to use iPhone and Ring App
Abilities:
· Purchasing Inventory- keep Sales & Developments revisions current
· Sorting mail- know types of mail associated with each Cost Center
· Postage Machine- mail charged to correct Cost Center and proper postage used, such as 1st Class, etc.
· Able to lift up to 45 pounds, to dust, adaptable to working in challenging weather environments, capable to drive daily to/from USPS, and Cullen office for mail delivery and office supplies.
· Assess and successfully resolve any facility issues that may arise with minimal disruption to business operations.
· Must be organized and possess the ability to define, develop, and implement projects involving multiple parties (internal and external) and multiple locations.
Additional noteworthy details:
· EECU will, in compliance with applicable laws, evaluate an applicant's credit history. Only applicant's with good credit history will be considered for open positions.
· Responsible for compliance of all Federal and State rules and regulations pertaining but not limited to Bank Secrecy Act, Anti-Money Laundering, Bank Bribery Act and NCUA Privacy Regulations. Required to attend initial and ongoing annual Bank Secrecy Act training.
