General Summary:

Supervise and oversee HR business processes with emphasis on continuous improvement in various aspects of operations, with a high emphasis on Leave and Employment processes. Responsible for the development, implementation and administration of programs/processes to ensure the optimum use of the company's leave programs and various business processes while contributing to the overall business strategy. Recommends changes in methods or procedures to increase efficiency of the unit.  Promptly and accurately responds to customers and promotes a feeling of trust and teamwork.   Dedicated to high quality customer service, and to being an employee champion and change agent providing an environment, which supports a high performing employee culture to meet current and future business needs.

Job Details:

Leave Administration

  • Interpreting and administering leave programs and policies in accordance with applicable federal and state employment laws. Works with third party leave administrator to apply consistent application of Dollar General programs.
  • Maintains detailed knowledge of all leave programs and answers employee inquiries pertaining to programs, processes, procedures and communications.
  • Provides excellent customer service to employees regarding the leave of absence process.
  • Responsible for escalated FMLA / leave disputes between the outside leave administrator, employees, managers, including leave eligibility.
  • Ensures updated information is provided to outside leave administrator, including job descriptions (as needed), salary continuation plan documents, short-term disability plan changes, organizational changes, changes to leave of absence company policies.
  • Processes invoices and accruals for leave administration and disability payments.
  • Partners with outside vendors and management to assure promptness and consistency in decision-making related to leave enrollments.
  • Oversees business processes around leave programs including not limited to:
    • Communications with employees
    • Communications with vendors
    • Tracking benefit payments
    • Monitoring of start & stop leave dates to ensure employees' benefits are properly reflected

Supervision of Processes 

  • Oversees any system conversion issues related to disability and leave administration.
  • Assists management in various projects such as research, design, development, and implementation of new business process programs; preparation of RFPs, the screening of vendors, the selection of vendor(s).
  • Establishes and maintains positive and effective working relationships with various departments within and outside of the company on various business process related items. (Internal: network with HRSS, Benefits, Payroll, Risk, ERC, Human Resources, Distribution Centers' HR staffs, Store Managers, District/Region Managers and IT.  External: Primary contact to help resolve issues for vendor(s)).
  • Oversees the processing of employee data audits to ensure data accuracy
  • Oversees retroactive pay process and data dissemination.
  • Provides system and technical expertise to resolve data and process issues.
  • Facilitates and advises in special projects involving deployment of technology related to data input processing or vendor interfaces.
  • Trains unit on all system, process, and reporting changes/upgrades.

Supervision of employees

  • Plans and coordinates the daily/weekly activities/schedules of the team members
  • Bi-weekly approval of time cards and attendance tracking to identify concerns for improvement
  • Provide on-time performance feedback and follow-up as needed
  • Tracking of overtime expenses to maintain budget control
  • Prepare vacation schedules and communicate with Manager of workflow needs
  • Audits and reviews employees work/tickets to ensure accuracy and employees are maintaining a high level of customer service for business processes
  • Assist Manager in the development of team members while continually developing self.
  • Assist Manager with the performance management of all team members (coaching, counseling, career development, disciplinary actions, and goal setting).
Qualifications:

Knowledge, Skills and Abilities:

  • Exceptional working knowledge of laws and regulations around Leave of Absences including FMLA and ADA requirements
  • Excellent organizational, communication and leadership skills
  • Good quantitative and qualitative reasoning ability
  • Project planning, team-work/team-building and supervisory skills
  • Critical thinking, problem solving, analytical and decision-making ability
  • Ability to work efficiently on multiple tasks and merge internal & external resources
  • Ability to work in a fast-paced and results oriented environment
  • Advanced knowledge in Microsoft Office applications

Work Experience &/Or Education:

  • Previous supervisory or team leadership experience preferred.
  • 2 - 5 years of Human Resource including Payroll processes, Leave Administration (FMLA, CFRA, military, pregnancy disability, maternity and parental, personal leaves and HR systems related experience.
  • 3 - 5 years of experience with training customer service, project management and quality management.
