The Highlights:
The Associate Director of Operations & Program Management is responsible for providing the Hay Center with strategic oversight of center operations and programs with the highest levels of customer service and attention to detail.
What You'll Do:
- Manages the Center's Operations. Provides operational strategy for the center's core work. Develops and maintains vendor oversight of Genius, Salesforce, Archer Career and Credly platforms for on boarding participants and clients. Manages multiple on-site and external events/activities related to Hay Center programs including but not limited to advanced scheduling, procuring space and food, material preparation and distribution and technology management. Manages strategic allocation of resources for current endowments (Crawford and Hay). Maintains a master calendar of Hay Center programs. Coordinates with faculty/instructors regarding schedules. Hires instructors and disperses compensation. Hires and manages student worker(s.) Tracks compensation for instructors and/or vendors (accounts payable). Provides regular budget and expense reporting.
- Program & Client Relationship Management. Manages the execution of all new and existing programs from contracting, execution and evaluation. Manages client on-boarding, regularly communicates with clients regarding their program needs, provides service excellence to retain all clients. Builds and maintains strong relationships with clients acting as the primary point of contact, addressing inquiries and resolving client issues to ensure satisfaction. Monitors and evaluates program success through data collection and analysis. Partners with the business development team in negotiation phases to provide strategic input on program execution and close the business. Responds to inquiries regarding program interests. Communicates with the Dean's office and/or Office of General Counsel as necessary regarding client contract review. Maintains changes to center website and/or related social media (e.g., LinkedIn).
- Supports all other Hay Center operations as required. Provides a high level of customer service to internal and external stakeholders. Maintains the organization of the physical office space. Provides market research to inform new programs and target clients including collection of data, preparation of marketing materials, preparation and delivery of client proposals, communication regarding accounts receivable, participant registration and record keeping. Directs student workers or graduate students as necessary. Communicates with internal departments in order to solve problems as needed.
- Regularly updates and tracks financial health of the Center.
- Bachelor's degree required.
- 3 years of professional experience in human resources, service operations, marketing or business development support preferred.
- Experience managing budgets and utilizing customer relationship management systems preferred.
- Experience in maintaining databases and performing intermediate analysis of data preferred.
- Room set up or moving objects that may exceed 25 pounds such as tables.
- May stand or sit for extended periods of time.
- May require periodic evenings or weekend work to support Center programs.
