Description

The Highlights: This position reports to the Executive Associate Dean and also assists the Associate Dean for Scheduling and Curriculum and the Associate Dean for Research and Graduate Programs.  The Assistant to the Associate Deans will coordinate, arrange, and support ongoing activities and special projects of the LAS Dean's Office as assigned by the Associate Deans.  This position provides continuity in both processes and timelines, especially during transition periods of the Associate Deans.
 

What You'll Do:

  • Research Committee and LAS Committee on Undergraduate Research: coordination of student and faculty grant programs and related committees as directed: scheduling, correspondence, records archive, coordination of payment/reimbursement.  
  • Support the associate deans with special projects and tasks—groups/workshops/seminars/orientations/symposia/data collection and management—as needed.  
  • College Committee on Curriculum and Programs (CCCP): coordination of monthly meetings, committee correspondence, minutes, and records archive.  
  • Awards committee: coordination of communication, meetings, marketing, and events. 
  • Independently coordinate the LAS Honors Convocation - communicate with faculty/students/vendors, manage the event budget, develop plans with St. Vincent DePaul Church/Facility Operations/Catering, hire and train student assistants for the day-of event, market the event.  
  • Independently coordinate the LAS Grade Challenge process and assist the College Exceptions Committee, to include form management, correspondence, records archiving, official notifications.
  • Primary responsibility for the implementation and execution of special events and projects for the Dean and Associate Deans - including the Awards Committee, LAS Honors Convocation, Committee on Curriculum and Programs, and Committee on Undergraduate Research. 
  • Manage budgets for multiple college level grants

What You'll Need:
  • Bachelor's degree required.  
  • Two to three years of experience in an administrative support position in a college or other academic setting preferred.
  • Knowledge of academic office environment
  • Strong organization and time management skills
  • Orientation to detail
  • Ability to work independently/resourcefully
  • Anticipatory (proactive) disposition
  • Ability to collaborate with people at all institutional levels.
  • Advanced knowledge of Microsoft Office, specifically Outlook, Word and Excel.
  • Event planning experience strongly desired]
  • Excellent written and oral communication 
  • Confidentiality and Discretion
  • The position may require participation in weekend and evening events.
