The Highlights: Reporting to the Director for TRiO Programs, the Assistant Director (AD) is responsible for overall organization and implementation of the administrative, academic and budgetary aspects of the McNair Scholars program, a grant-funded project designed to assist low-income and first-generation students in their preparation for graduate school applications and experiences. The AD will oversee the delivery of services, learning activities and events. AD plays an important role in the development of learning activities and coordinates the implementation of McNair scholars seminars, learning communities, retreats, and events. In addition, AD is responsible for the maintenance of records of student participation for federal and campus reporting purposes.  
The AD assists the Director for TRiO programs with program evaluation, annual performance and budget reporting. AD works closely with other TRiO staff members to coordinate TRiO outreach, student selection and retention strategies, as well as serve as the liaison with other key university offices, faculty and external partners. Finally, the AD will train, lead and support the work of the McNair Scholars Coordinator on the development and implementation of research and scholarly programing. 


What You'll Do:

  • Oversees program implementation and delivery by staff members. Develops planning and supervises staff work for maintaining records, tracks supplies, and manages use and technical support for office resources. Runs weekly staff meetings, provides guidance and direction for the program's day-to-day activities and conducts annual employee performance appraisals. Ensures that program mission and objectives are achieved via the delivery of services and captured by program metrics. Recommend staff hiring decisions, subject to final approval by the Director for TRiO programs, Supervise and train staff.
  • Determines participant eligibility, need for services, and oversees the monitoring of scholars progress. Supervises the timely delivery of program services and activities, and the compilation of students' information for quarterly and annual analysis and reporting. Reporting includes those for internal reporting purposes as well as those that fulfill complex federal government program requirements. 
  •  Collaborates with the Director for TRiO programs on budget planning and management of McNair operational budget. AD is responsible for processing and reporting expenditure for McNair programing, hiring and approving hours for part-time staff. Manages ProCard transactions. Reviews budget report transactions and move dollars among line items for allowable expenses. 
  • Collaborates with other TRiO programs, other non-federal programs housed in the Division of Student Affairs and other units to improve and develop quality learning experiences and services for program participants. Provide regular announcements and presentations for internal university audiences about participants and program achievements. 
  • Oversees work on developing research and scholarly activities, and implementing Learning Communities. AD also engages in direct service to participants by providing academic guidance and support for participants to access new scholarships, internships, and graduate programs and supports concerning graduate school preparation. Supervises staff providing student tutoring, advising and mentoring. 
  • The Assistant Director will supervise the work of a full-time Coordinator, and four (4) undergraduate/graduate assistant(s) and/or other part-time staff: (1) graduate student instructor, (1) learning communities coordinator and (2) tutor/mentors. 40% of time and effort is spent in supervisory duties.
  • The Assistant Director will assist in the reconciliation and management of the McNair Program, federal TRiO grant, annual budget of $216,000. The McNair Scholars Program serves thirty undergraduate student a year, that receive funding for educational/research materials, travel, conferences, and provide stipends. AD will complete expenditures for program activities.

 

What You'll Need:

  • Master's degree required and/or progress toward. Commitment to a doctoral program preferred. 
  • 3-4 years experience with student services, advising, academic assistance, and/or program planning and program/project management in an academic context, required.  
  • Experience with first generation and low-income college students or students from underrepresented populations in higher education, highly desirable. 
  • Must have research experience so that the individual can be a resource as participants frame their research projects. 
  • Must have an understanding of graduate school programs, requirements, and admission processes. 
  • Must have a working knowledge of TRiO program history, philosophy, regulations.
  • Institutional Review Board (IRB) Certification
  • Familiarity with budgetary processes. 
  • Understanding financial aid programs and external scholarship programs. 
  • Ability to work with administrators and faculty at DePaul.  
  • Word processing and database management skills essential. Basic proficiency with spreadsheet programs, SPSS and Microsoft office programs.
  • Experience with program planning, project management and student advising in a university context.  
  • Member of a group historically underrepresented in higher education an asset. 
  • Occasional evening and weekend work required. Some out of town travel and occasional international travel required, typically when chaperoning participants on graduate school visits or conferences.
