POSITION SUMMARY

  • The Admitting and Scheduling Director is responsible for the functions of hospital and clinic admitting, reception and scheduling.  They oversee the day to day operations of these functions including staffing, performance management, hiring, and quality improvement.  The Director will be expected to demonstrate exceptional customer service skills and to create an environment for staff that promotes positive interactions with all internal and external customers.  The position will develop and implement criteria, policies and procedures related to scheduling, admitting and reception/patient check-in. 
POSITION QUALIFICATIONS
  • Education and Experience:
    • High School Diploma or equivalent.  Completion of a Medical Secretary, Medical Office Administration or Health Information Program or comparable experience in a healthcare, reception or office setting.  Three years of related experience in a health care setting or two years supervisory experience.

ESSENTIAL RESPONSIBILITIES
  • Reception/Patient Check-in/Admitting/Scheduling
    • Works with reception staff to ensure courteous and friendly reception of patients checking in for appointments and accurate and complete registration at the time of the visit.
    • Works with business office to make certain communication/interactions to monitor effectiveness of patient registration in order to ensure accurate and timely billing.
    • Demonstrates a thorough knowledge of the registration and check-in processes in achieving compliance with HIPAA regulations maintaining confidentiality and respect for the privacy of our patients and family members.
    • Achieves compliance with FTC – Red Flag Rules in regards to identity theft.
    • Develops resources for staff and keep staff updated on a regular basis.
    • Monitors cash handling and credit card procedures and co-payment collection at the reception areas to ensure security and accountability.
    • Works with physicians, providers and nurses to develop appointment and procedural scheduling protocols and communications standards and changes to the scheduling staff.
    • Ensures efficient and effective appointment scheduling organization through communication and coordination with physicians and providers.
  • Phone System
    • Serves as a liaison with the phone system and demonstrates thorough knowledge of the phone system capabilities.
    • Demonstrates an understanding of the phone system data i.e. call waiting times and uses information to summarize performance trends and make process improvements.
    • Develops individual phone training for new reception and scheduling employees and creates resources to assists in proper use of telephone and voice messaging.
  • Insurance Verification
    • Creates an account and registers all new reception and scheduling and/or current employees who need to verify insurance eligibility into each specific insurance carrier/website.
    • Trains each staff person who is registered within each insurance website understands how to update and change passwords, and check for eligibility.
    • Creates an account in the on-line eligibility verification software(s) and enters all usernames and passwords.
    • Develops protocols for updating passwords in on-line eligibility verification software and specific insurance web sites to ensure that both are corresponding.
    • Disable accounts when employee has terminated their employment.
    • Serves as a resource to reception, admitting and scheduling staff and liaison staff in regards to insurances i.e. insurance types, plans and eligibility.
  • Electronic Medical Record
    • Monitors processes to reduce duplicate medical record charts and works together with HIS staff to correct any errors or duplicate charts that get created.
    • Ensures that reception and scheduling staff are trained properly in using functions of the EMR to assist with their daily duties. These would include: tasking, call processing, photo uploading, and pharmacy updates.
    • Assists with updating patients who do not appear on physicians or providers daily schedule.
