Job Description

University Police Services, Southern Command invites applications for Administrative Assistant IV, [R0140933]. We appreciate your interest in employment at our growing division.

ROLE of the POSITION

Under direction, this position will perform a variety of administrative tasks in the Business Services section of University Police Services.  These tasks will include but not be limited to reviewing information in automated records, police reports, case files, legal documents, and other documents and filing for accuracy and completeness; obtaining additional information and making corrections to reports and files when necessary; collecting and compiling information from police reports, court reports, and legal documents and forwards information to the appropriate departments, divisions, and outside agencies; maintaining and creating departmental files and records related to criminal justice matters; researching missing and rejected reports and notifying appropriate personnel; classifying Incident/Crime Reports per UCR definitions. 

This incumbent provides fingerprinting services to applicants within the Police Department, members of the general public, and persons required by law to register as Convicted Persons and/or Sex Offenders and submits the hard copy cards to the appropriate agencies. They will be required to maintain the fingerprint request logs and archives those logs annually. 

This incumbent with also assists with Clery Act compliance needs including reviewing daily crime reports received through the records management system, shift briefing reports, and those received from campus security authorities for the University of Nevada, Las Vegas, the College of Southern Nevada, and Nevada State College. They will be required to evaluate reports to determine if a Timely Warning may be necessary and reports findings to the Clery Compliance Coordinator. This includes completing daily crime log entries for each applicable campus as necessary and assisting the Clery Compliance Coordinator with publishing statistics in the annual security reports for UNLV, CSN, and NSC. Provides Clery act training for department personnel. Provides Clery act compliance guidance to Vice President of Public Safety Services in the Clery Compliance Coordinators absence.

This incumbent must have strong verbal and written communication skills, customer service orientation, excellent management and organizational skills, excellent communication skills, ability to multi-task, and problem solve.
 

This position will assist with the effective implementation of policies and procedures within University Police Services, while ensuring compliance with University, College, State, and Federal laws and regulations. It will also assist with the implementation of programs/events designed to successfully acquire and retain top talent for all department positions. This position will act as an advocate, representing University Police Services in a positive and professional manner to the external community and positioning the department as an employer of choice, internally and externally. This position will also work collaboratively with all Command staff in overseeing various administrative related tasks as assigned.

DEPARTMENT INFORMATION

The department is a full-service police department comprised of patrol operations, administration, police dispatch and a detective division. Services include a canine program, walking and bicycle patrols, and a pro-active, selective traffic enforcement program and takes a leadership role in preparing the University to respond to large-scale crises and events. The department consists of 80 employees (42 full-time sworn officers, 10 sworn part-time, 8 non-sworn part-time, 24 students, and 20 full & part-time civilian support staff). University Police Services, Southern Command, is a full service category I law enforcement agency that serves the University of Nevada, Las Vegas, the College of Southern Nevada, the Desert Research Institute and Nevada State College. The department consists of 163 employees and has responsibility for the public safety needs of 80,000 students, faculty and staff over an 800 square mile service area. Law enforcement operations consists of 80 full and part time sworn peace officers, a full service 9-1-1 Center, K-9 operations; emergency management operations with a fully functional EOC and oversight of major special events hosting more than a million visitors a year to various events.

REQUIRED QUALIFICATIONS

Graduation from high school or equivalent education and four years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR one year of experience as an Administrative Assistant III in Nevada State service; OR an equivalent combination of education and experience as described above.

SALARY

Grade 29 Step 1, salary $45,184.32. "Step" means the number assigned by the Division of Human Resource Management to identify a specific rate of pay within a grade. Per Nevada Administrative Code (NAC 284.170), salaries for initial appointments for classified positions typically begin at Step 1.
