If so, then we invite you to apply for the exciting opportunity to join the Transit Peace Officers unit within the Community Standards Branch as our TPO Administrative Support!

As TPO Administrative Support, you will play a vital role in ensuring the smooth and efficient operation of the Transit Peace Officers unit. You will provide comprehensive administrative support to the Transit Peace Officers, Sergeants, Inspectors, and Superintendent. Your responsibilities will include managing correspondence, coordinating processes, handling sensitive documents, and acting as a positive and professional liaison between various stakeholders. Your strong organizational skills, attention to detail, and ability to work independently and as part of a team will be essential to your success in this role.

What will you do?

  • Provide general administrative support to the Superintendent and/or Director, including calendar management, scheduling, and correspondence management
  • Maintain oversight of the section's inquiries and provide coordination with regards to processes, delegations, and questions
  • Manage incoming and outgoing correspondence, ensuring proper tracking, recording, and adherence to FOIP requirements
  • Create, improve, and implement templates and processes related to memos, correspondence, and requests for information
  • Format and draft various documents, including memos, letters, and reports
  • Create, process, and maintain files, ensuring proper document management, retention, disposition, and distribution
  • Support committees and meetings, including logistics, scheduling, preparing agendas, managing attendance lists, taking minutes, and following up on action items
  • Manage parking pass access and requests
  • Manage the area's OH&S requirements in coordination with the Superintendent
  • Coordinate telephone and cellular phone inventory and activities, including purchases, repairs, and phone number assignments
  • Purchase and ensure an available supply of office items in accordance with City policies
  • Administer the Continue/Stop payment process for Bylaw tickets
  • Scan fines and RMS file documentation for court reports
  • Process tickets and receive TPA Ban Notices, forwarding them to the TPO Investigator for audit
  • Provide coverage of unit telephones, screening incoming calls and referring them to appropriate members
  • Submit Ariba requests for payment to vendors and expense reports to the Superintendent for approval
  • Produce correspondence to complainants, the Public Security Peace Officer Program, TPOs, and witnesses in support of complaints or conduct investigations
  • Attend meetings and/or interviews as required for note-taking
  • Other duties as required
